NEIS Collective is a leading dealer of casework, millwork, fume hoods, laboratory furniture, and specialty equipment serving the K-12, Higher Education, Laboratory, Healthcare, and Aviation markets.
We are seeking a motivated, organized, and detail oriented Administrative Assistant to support our growing team in Pawtucket, RI. This is a full-time, on-site position. Part-time employment may be considered for highly qualified candidates.
The Administrative Assistant plays a key role in supporting office operations and helping administrative processes run efficiently. Responsibilities include office coordination, event support, administrative reporting, travel coordination, vendor communication, and assisting internal teams with day-to-day operational needs. This role requires strong organizational skills, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
- Support the day-to-day administrative operations of the office in a professional, organized, and efficient manner
- Maintain organized office records, files, calendars, and administrative documentation
- Coordinate office communications including phone calls, mail, deliveries, and visitor reception
- Assist with office operations including ordering supplies, coordinating office equipment maintenance, supporting facility-related needs, and communicating with vendors and service providers
- Support accounting and administrative processes including timesheet coordination, purchase order entry, expense documentation, and contract-related administration
- Coordinate meetings, travel arrangements, employee events, office functions, and company gatherings
- Assist with project specific background screenings, employee recognition initiatives, and volunteer activities
- Support preconstruction with prime bid documentation, organization, and administrative tracking
- Help maintain a professional and welcoming environment for employees, customers, vendors, and visiting partners
- Maintain confidentiality, professionalism, and attention to detail in all aspects of the role
- Contribute to a collaborative, team-oriented, and positive office environment
- Assist with special projects and additional administrative responsibilities as needed
Qualifications:
- 2+ years of administrative, office coordination, or related experience preferred
- High school diploma required, college degree preferred
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Professional communication and interpersonal skills
- Ability to work independently while also contributing within a collaborative team environment
- Strong problem-solving skills with the ability to adapt to changing priorities
- High level of professionalism, reliability, and confidentiality
- Proficiency with Microsoft Office & Google Workspace
- Experience with Foundation, Salesforce, & Asana is a plus

NEIS Collective offers competitive compensation, generous PTO, and comprehensive health and welfare benefits. The anticipated salary range for this position is $55,000 to $60,000 annually. Actual compensation will be based on experience, qualifications, skills, and overall fit for the role.
