Job Title: Executive Assistant to the CEO (Field Operations)Position Summary
We are seeking a highly organized, proactive, and dependable Executive Assistant to serve as the CEO's right-hand partner in a fast-paced construction company. This is not a traditional office assistant role. You will work closely with the CEO both in the office and in the field, helping manage daily operations, coordinate projects, communicate with crews and subcontractors, and ensure jobs stay on schedule.
The ideal candidate is resourceful, thrives under pressure, takes initiative without being asked, and is comfortable spending time on active construction sites. You must be someone who anticipates needs, solves problems, and keeps the CEO focused on growing the business.
Key Responsibilities
- Act as the primary support person for the CEO in both office and field operations.
- Attend job sites to assist with project coordination and ensure work is progressing according to schedule.
- Coordinate subcontractors, vendors, suppliers, and inspectors.
- Schedule meetings, appointments, and site visits.
- Track project timelines, deadlines, and follow-up items.
- Prepare estimates, proposals, contracts, and project documentation as needed.
- Communicate with clients regarding project updates, scheduling, and service needs.
- Organize permits, invoices, purchase orders, and construction documents.
- Monitor job progress and report issues that require immediate attention.
- Assist with material ordering and delivery coordination.
- Maintain calendars, emails, and daily priorities for the CEO.
- Help develop and improve company systems, processes, and workflows.
- Handle confidential business information with professionalism and discretion.
- Be available to step into whatever role is needed to keep projects moving efficiently.
Qualifications
- Experience as an Executive Assistant, Project Coordinator, Construction Administrator, or similar role preferred.
- Construction industry experience is highly desirable.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Strong problem-solving and decision-making skills.
- Proficiency with Microsoft Office, Google Workspace, and project management software.
- Comfortable using smartphones, tablets, and construction management apps.
- Valid driver's license and reliable transportation.
- Ability to travel between job sites throughout the workday.
