Hawaiʻi Lodging & Tourism Association, Kauaʻi Chapter seeks an Administrative Assistant to join our dynamic team. This role involves engaging with board members, industry professionals, and community leaders. Attention to detail, strong organizational skills, and problem-solving abilities are essential for success in this position, which involves coordinating numerous annual events hosted by HLTA.
As an Administrative Assistant, primary responsibilities include organizing upcoming events, creating promotional materials, managing invoices, updating guest lists, and maintaining member and sponsor information. Additional duties encompass office and administrative tasks, including website updates, communications, event coordination, and registration management. Availability during standard business hours Monday through Friday is required, with occasional evening and weekend commitments during events. This is a full-time employee position with a hybrid work arrangement that allows for some remote work flexibility. A valid driver's license, reliable transportation, and residence on Kauaʻi are required.
Key Responsibilities:
- Clear communication with members via phone, email, and text
- Bookkeeping tasks using QuickBooks, including invoicing and payment reconciliation
- Assisting members with online event registration
- Designing flyers using Canva and creating newsletters with Mailchimp
- Supporting members in maximizing their membership benefits
- Recording and producing meeting minutes
- Invoicing, collecting payments, and maintaining financial records
- Coordinating meetings, events, and community programs
- Emailing event attendees with event details and updates
- Creating name tags and assisting with guest check-ins at events
- Assisting with event setup and breakdown
- Promoting events on platforms such as Eventbrite and social media channels
- Updating website content to ensure accuracy of membership lists, Board of Directors information, sponsor recognition, and event pages
- Maintaining MobileCause and other fundraising platforms with donor information, team updates, and photos
- Performing general administrative and office support duties as assigned
Required Skills:
- Effective interpersonal and communication skills in professional environments

- Ability to work under pressure and meet deadlines
- 1-2 years of office, administrative, or clerical experience preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook)

- Ability to work independently and manage time effectively
- Openness to constructive feedback and continuous improvement
- Initiative in advancing projects and completing tasks with minimal supervision
- Strong multitasking and organizational capabilities
Additional Information:
This is a full-time employee position offering $30.00 per hour. Occasional evening and weekend work may be required to support organizational meetings, events, and programs.
