Cokesbury United Methodist Church is seeking a warm, organized, and dependable Office Manager to support the church's daily administrative operations. This person will often be the first point of contact for members, visitors, staff, and community partners, so hospitality, professionalism, and confidentiality are essential. The Office Manager will help manage church communications, answer phones and emails, welcome guests, maintain records, coordinate calendars and room usage, prepare bulletins and church publications, assist staff and ministry leaders, and help keep the church office running smoothly. The ideal candidate will have strong organizational and communication skills, attention to detail, computer proficiency, and the ability to work well with staff, volunteers, church members, and the public. Previous office, church, nonprofit, or customer service experience is preferred. Position Summary
The Office Manager serves as a welcoming, organized, and dependable presence in the church office. This position supports the daily administrative operations of Cokesbury United Methodist Church and helps ensure that communication, scheduling, records, and office systems run smoothly.The Office Manager is often the first point of contact for members, visitors, staff, ministry leaders, and community partners. Therefore, this person should reflect the hospitality, professionalism, and mission of Cokesbury UMC in all interactions.
Primary Responsibilities
Office Administration
- Manage the day-to-day operations of the church office.
- Answer phones, greet visitors, respond to emails, and assist members and guests.
- Maintain office supplies, equipment, files, forms, and general organization.
- Receive, sort, and distribute mail and deliveries.
- Prepare correspondence, reports, forms, and other church documents as needed.
- Maintain confidentiality regarding church, staff, member, and financial information.
Communication
- Assist with church-wide communication, including newsletters, bulletins, emails, announcements, mailings, and website or social media updates as assigned.
- Gather information from staff and ministry leaders for weekly publications.
- Help ensure that church communications are accurate, timely, clear, and welcoming.
- Maintain updated contact information for members, visitors, ministry leaders, and church groups.
Scheduling and Calendar Management
- Maintain the church calendar and help coordinate room usage.
- Schedule meetings, events, and facility requests in coordination with staff and ministry leaders.
- Communicate building-use expectations and event details to appropriate staff members.
- Assist with preparation for meetings, including copies, materials, room setup requests, and reminders.
Membership and Records
- Maintain accurate church records, including membership information, attendance records, baptism records, transfer records, and other official church documents.
- Assist with Charge Conference, Church Council, committee, and ministry records as needed.
- Help track new members, visitors, and member updates.
- Support accurate recordkeeping in accordance with United Methodist Church expectations and local church policies.
Staff and Ministry Support
- Provide administrative support to the Senior Pastor, Associate Pastor, Church Administrator, and other staff as assigned.
- Assist ministry leaders with communication, copies, sign-ups, forms, and event preparation.
- Help coordinate volunteers who assist in the church office or with administrative tasks.
- Support worship preparation through bulletin creation, printing, inserts, attendance pads, and other materials as assigned.
Financial and Operational Support
- Assist with basic financial administration as assigned, such as processing forms, preparing deposits for review, handling invoices, or supporting stewardship mailings.
- Work with the Church Administrator, Finance Team, or Treasurer to ensure proper documentation and procedures are followed.
- Maintain careful attention to detail in all financial or administrative tasks.
- Follow all church financial policies and internal control procedures.
Qualifications
- Strong organizational and communication skills.

- Proficiency with basic office software, including Microsoft Office, Google Workspace, email, Canva, and calendar systems.
- Ability to learn church management software, database systems, or communication platforms.
- Strong attention to detail and ability to manage multiple tasks.
- Ability to work well with church staff, members, volunteers, and the public.
- Prior office, administrative, church, nonprofit, or customer-service experience preferred.
- Familiarity with the United Methodist Church is helpful but not required.

Physical and Work Requirements

- Regular office hours are expected, with occasional evening or weekend support for major church events as assigned.
Pay: $28,000.00 - $35,000.00 per year
