Position Summary
We are seeking a detail-oriented Patient Care Coordinator with some Medical Billing and
Insurance knowledge. The primary role of the PCC is to create opportunities for continued growth of The Center for Audiology. This role focuses on accurate data entry, taking care of patients, cleaning hearing aids, billing, insurance verification, managing accounts, coordination with patients and providers to ensure smooth administrative operations.
Responsibilities
1. Insurance
A. Verify patient benefits entered from YCS
i. Daily, prior to patient arrival
ii. Communicate with patients regarding benefits as needed
iii. Update Sycle
B. Process Explanation of Benefits daily, as they are received in office.
i. Enter insurance payments into Sycle
ii. Determine patient balance, if applicable, and mail statements to patient.
iii. Communicate with YCS any insurance decisions requiring appeal, if applicable, e.g. payment does not match quote, original claim was incorrect, insurance denial even when benefits were noted to be available, etc.
C. HCFA status
i. Monthly, check Sycle HCFA status and open invoice reports
ii. Bill patients outstanding payments due
2. Professional Conduct
A. A high degree of attendance is required. Excessive tardiness or absenteeism will not be tolerated
B. Professional conduct and positive behavior must be exhibited at all times with co-workers, management, vendors and patients
C. Good grooming and professional appearance must be maintained at all times
D. Maintain confidentially per HIPPA guidelines
3. Patient Scheduling / Communication
A. By the 15th of each month schedule the following:
i. 6 month checks
ii. Annual evaluations (<3 years since HA purchase, 3+ years since HA purchase)
iii. Lyric renewal/Annual evaluation
iv. Hearing aid warranty expiration notices
v. Birthday cards on time
vi. Patient referral thank-you cards as needed
vii. TNS survey calls weekly as needed
viii. Respond to “chat” patients within 2 hours of notification
4. Shipping and Receiving
A. Process all outgoing shipping daily using approved shipping methods and vendors
B. Note shipment in Sycle INCLUDING TRACKING #
C. Receive all inbound shipping in Sycle daily
5. Prepare Hearing Aid Contracts / Fitting Bags prior to Appointment
A. Contract completed
B. Accessories included
C. Verify HAs are in stock or have arrived prior to appointment.
6. FRONT DESK COVERAGE AS NEEDED
A. Answer phone promptly and courteously
B. Confirm next day appointments by noon
C. Fill any open appointment slots with extreme urgency using established block schedule guidelines
D. Always request 3rd party companion information
E. Assist with patient recall: 6 month checks, annual exams, warranty expiration, etc.
7. Scan folder – scan and empty daily
8. Shred folder – shred and empty folder daily
9. Send reports to patients and physicians as requested
10. Assist Audiologists as needed
11. All other duties apparent or assigned
Qualifications
- 2+ years of experience as a PCC (audiology experience preferred).
- Working knowledge of CPT and ICD-10 codes.
- English required; bilingual Spanish a plus
- Working knowledge of Microsoft Office (Word, Excel, etc.)
- Strong organizational and communication skills.
- High school diploma or equivalent; certification in medical billing is a plus.
