Position Summary
Wolff & Phan Autism Center is seeking a highly organized and proactive Administrative Coordinator to oversee scheduling, family communication, documentation management, and daily clinic operations. This role serves as a key liaison between families, clinical staff, and leadership, helping ensure the clinic runs efficiently while maintaining exceptional service and compliance standards.
Key Responsibilities
Scheduling & Staff Coordination
- Create and maintain weekly staff and client schedules.
- Manage schedule changes, time-off requests, call-offs, and staffing adjustments.
- Coordinate consultations, reassessments, parent meetings.
- Maintain scheduling systems, including CentralReach and Buddy Punch.
- Verify staff hours and support workforce planning and onboarding activities.
Family & Client Support
- Serve as the primary point of contact for families regarding appointments, schedule changes, and clinic communications.
- Answer phones, greet visitors, and coordinate client arrivals and departures.
Documentation & Compliance
- Maintain electronic client records and ensure timely filing of clinical documentation.
- Track and maintain compliance-related records, including incident reports, supervision logs, certifications, and required documentation.
- Support audits and quality assurance activities.
Clinic Operations
- Support daily administrative operations and front-office functions.
- Maintain clinic organization, inventory tracking, and supply management.
- Assist and coordinate with general upkeep of the clinic environment.
- Coordinate staff certifications, employee recognition initiatives, and operational projects as assigned.
Team Collaboration
- Work closely with the Administrative Director and Clinical Director to support staffing, scheduling, and operational needs.
- Assist with onboarding and system setup for new employees.
Qualifications Required
- High school diploma or equivalent.
- Previous administrative, scheduling, office coordination, or customer service experience.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Excel and the ability to learn online platforms for scheduling.
- Ability to maintain confidentiality and manage sensitive information.
Preferred
- Experience in healthcare, ABA, behavioral health, or a medical office setting.
- Familiarity with electronic medical record platforms.
- Knowledge of HIPAA compliance and medical record management.

Schedule
- Full-Time
- Monday–Friday
- 8-hour shifts (8:30-5:00 PM)
