Summary Description:
Under the overall direction of the PM, the PC coordinates work and communication with architects, designers, on-site Superintendent(s), subcontractors, vendors, and directly with the clients, to ensure each project in the portfolio runs smoothly, professionally, on-time, and within the established budget. We have an open office environment, and the PC is required to visit the Dyna project sites throughout the Seattle area and interact directly with Dyna clients and other members of the Dyna team, as needed.
Essential Functions, Duties & Responsibilities:
· Works with Dyna’s team of PMs to coordinate the day-to-day logistics of each project including direct interactions with Dyna clients, sometimes in their homes, sometimes at the Dyna office.
· Provides semi-monthly labor summaries and submit to PM within a day to ensure efficient and timely client billings.
· Prepares and executes meeting notes and coordinates with responsible parties for follow-up items. Ensures meeting minute recaps are sent to the PMs within two days, and then issued to the project’s team (Client, architect, interior designer) within three days.
· Coordinate “Construction Online” tasks and organization; creating project folders, uploading final finish schedules and documents, including weekly meeting notes. Also includes tracking of daily superintendent reports, weekly project pictures and safety documentation. Inform PM of deficiencies.
· Coordinate w/ PM and Accounts Payable in setting up new vendor & subcontractor agreements before subcontractor performs any work. Accounts payable will ensure all updated agreements/contracts have current certificate of insurance, W-9 documentation. The PC may follow these steps if they are initiating a vendor/subcontractor agreement.
· Catalogs and monitors delivery of materials once materials have been ordered. Manages material delivery schedules; identify any issues that don’t conform to plan specifications or damage and report these issues to the PM. Arrange for material delivery via the Dyna driver whenever possible, or deliver materials to jobsite directly using personal vehicle.
· Provide continuous weekly status updates to PM on fixtures and finishes schedules.
· Provide Client Homeowner Manual at project’s Substantial Completion timeframe, or once Client moves into home.
· Performs other related duties as assigned, specifically under the supervision of the PM Department.
· QuickBooks Time Sheets: Stays current with daily input of hours and detailed notes of work performed on each project.
· Assist PM within building the budget during Pre-Construction phase, which includes take-offs and sourcing bids on finishes, plumbing fixtures, electrical fixtures, door & cabinet hardware, cabinetry, bath accessories, etc. This includes coordination with vendors and subs to attain budget costs for material & labor.
· Creates new Invoice and Labor Summary excel documents at project start up, for billings.
· Creates any finish and fixture schedules not provided by the designer, for procurement and tracking purposes.
· Manages job mobilization start up tasks, including porta potty scheduling, water jug delivery, no parking street signs, on-site job safety signs, neighborhood letters, client contact set up, Construction Online project set up, and creating PM/Super Binders.
· Sends documents and contracts on DocuSign at all phases of project; Pre-Construction Subcontracts, Master Contract, Change Orders, Substantial Completion documents, etc. Saves signed contracts to server and helps manage deliverables with PM.
· Coordinate with Interior Designer or Architect if VE (value engineering) alternatives are needed to stay within budget.
· Order samples of finishes/hardware/materials if requested by Client or PM.
· Confirm with Interior Designer that specified fixtures/hardware include all parts & pieces required for installation (i.e., Rough in parts, electrical drivers, accessory parts).
· Coordinates the selection and procurement of non-decorative fixtures in a project. This includes but is not limited to architectural lighting (can lights, LED lighting, puck lights, wall lights), outlets, and certain door/cabinet hardware.
· Helps PM schedule subcontractors on site. For example, scheduling install of slabs, tile, wallpaper, closet systems, shower glass, mirrors, appliances. Includes managing subcontractors’ scope of work based on specifications & design requirements.
· Work alongside Service Department on past project’s warranty work. Serve as active PC/PM on Service Department smaller projects.
· Coordinate project permitting for street use, Right of Way, parking signs, and restricted access with the City of Seattle (SDIC). PC is expected to maintain their own account on the SDCI website for permitting needs.
Knowledge, Skills & Experience:
· Must possess exceptional diplomatic skills, including the ability to communicate clearly and exercise an impeccably professional demeanor on the phone and in person, with customers, vendors, and colleagues at all levels.
· Capability to plan and organize time and resources efficiently in a fast-paced, high-volume environment.
· Experience working in a similar role, preferably 1-2 years in the residential construction industry.
· Ability to read and interpret construction plans.
· Moderate to advanced computer skills, including Word, Excel or Mac Numbers, Mac/Apple environment, Mac experience preferred, but not required.
· An associate degree is preferred, additional education greatly preferred. We recognize that life experience can also be valuable in lieu of formal education.
· Extremely organized, multi-task effectively, capacity to see what is needed, and get it done.
· Leverages own strengths and demonstrates understanding of weaknesses to contribute to a project most effectively.
· Strong attention to detail a must.
· Ability to adapt to Dyna’s dynamic situations and personalities.
Location and Transportation:
Dyna job sites are typically in and around the Seattle area and the Eastside. Must have reliable transportation to get to customer and vendor sites and a valid drivers’ license, with clean driving record.
Physical Requirements:
· Visually or otherwise identify, observe, and assess distance, color, and depth. Required to regularly communicate with others and exchange accurate information.
· Able to operate a computer and other office productivity equipment; able to remain stationary at a computer for extended periods of time and move around the assigned workspace.
· May require lifting and carrying samples and products to and from clients and vendor sites (25lbs and occasionally up to 50lbs.)
· PPE for this position includes slip resistant/closed-toed shoes. These may be needed occasionally on jobsites.
