ADMINISTRATIVE ASSITANT
This is a full-time position providing support & organization for the Carmel Youth Center. Working in partnership with the Executive Director helping to ensure a smooth-running and organized office, as well as some opportunities to be involved on the floor with our Youth. Hours estimated are 40 hours a week.
SALARY: $23-$26 an hour depending on previous experience, including but not limited to leadership experience and education.
QUALIFICATIONS:
- Must be at least 18 years old.
- High school diploma or equivalent.
- Experience working in administrative roles and/or with children (minimum of 1 year).
- Reliable transportation to and from the Carmel Youth Center.
- Availability to work flexible hours, including during school breaks.
- Ability to pass a fingerprint background check prior to hire.
- First Aid and CPR certification (or willingness to obtain; training provided).
- Customer service experience and a positive, team-oriented attitude.
- Proficiency with printers, copiers, Microsoft Office, Google Suite, Google Docs, and Canva.
- Professional telephone skills and handling of cash and financial information.
- Strong work ethic, dependability, and ability to multitask.
- Leadership and mentorship skills through direct interaction with children.
- Event coordination, facility management, and marketing experience.
- Communication and teamwork skills in a professional setting.
- Great verbal and written communication skills.
- Professional discretion.
- Be able to work in high sound volume, high energy work place.
RESPONISBILITIES:
- Maintain a professional appearance and being present at Carmel Youth Center during assigned work hours.
- Proactively perform organization of program materials, updating information, and printing necessary documents.
- Assist with facility rentals by providing proper documentation, informing renters of fees, and supervising events sa needed. Conduct facility tours for guests.
- Maintain security and telecommunications systems and manage internal registration programs.
- Occasionally supervise and mentor children during activities, ensuring their safety and engagement.
- Use the Funraise platform to keep track of donations and supply tax receipts and correspondence to donors (training will be provided).
- Use Amilia platform to register clients for program activities, update activity listings, and confirm facility rentals (training will be provided).
- Ensure adherence of safety guidelines, reporting unsafe conditions or incidents to supervisors.
- Attend training sessions and staff meetings ot stay informed about program updates and policies.
- Maintain good rapport with ongoing facility users and conduct in a courteous, professional manner.
- Provide ongoing clerical and administrative support by answering and filtering phone calls from the main phone line, and maintaining the info email account.
- Collaborate with the marketing team to align content strategies with overarching brand objectives.
- Assist in website management to ensure up-to-date and appealing content.
- Be available for occasional evening or weekend projects when campaigns, events, or time-sensitive opportunities arise.
- Supporting the Executive Director & Board during fundraisers and special events as directed by the Executive Director.
