Position summary:
Exit Planning Institute (EPI) is a professional education company with an in-house marketing team responsible for executing a wide range of strategic campaigns, brand initiatives, events, and digital marketing efforts. The Marketing Assistant plays an essential support role in helping the department operate efficiently by assisting with marketing operations, project coordination, content support, event logistics, and administrative execution.
This role requires exceptional attention to detail, strong organizational and time management skills, and the ability to manage multiple recurring tasks with consistency and accuracy. The Marketing Assistant will support the Marketing Operations Strategist by helping coordinate department projects, maintaining operational documentation, organizing digital assets, assisting with content publishing, preparing award submissions, coordinating event logistics, and providing day-to-day administrative support across the marketing team.
The ideal candidate is dependable, proactive, highly organized, and eager to learn. They enjoy working behind the scenes to keep projects moving, thrive in a fast-paced environment, and are willing to jump in wherever support is needed. This position reports to the Marketing Operations Strategist and collaborates closely with all members of the Marketing Department to help ensure the successful execution of EPI's marketing initiatives.
Key responsibilities and duties:
Team & Administrative Assistance
- Support scheduling, internal communication, and meeting preparation.
- Assist with documentation, follow-ups, and general administrative tasks as needed.
- Jump in to support team projects and day-to-day execution based on department priorities.
Marketing Operations Support
- Support the Marketing Operations Strategist with campaigns, projects, and cross-functional initiatives.
- Maintain the Marketing Project Hub, timelines, and operational documentation.
- Track deadlines, action items, and project progress.
- Assist with developing and maintaining SOPs, templates, and operational processes.
- Support reporting, project updates, and process improvements, including AI and automation initiatives.
- Organize digital marketing files and respond to internal requests for marketing assets.
Content Support
- Proofread marketing materials for accuracy, quality, and brand consistency.
- Assist with award submissions and track application deadlines.
- Upload and format content across marketing platforms.
- Maintain marketing calendars and support project tracking.
- Help ensure marketing assets remain organized and aligned with brand standards.
Vendor & Administrative Support
- Coordinate communication with external vendors.
- Assist with purchase requests, invoices, shipping, and vendor documentation.
- Maintain organized records of vendors, contracts, and marketing resources.
- Support meeting coordination, agendas, and action items.
Event & Marketing Logistics
- Coordinate packing and shipping of marketing materials, signage, promotional items, and event supplies.
- Track inventory of marketing collateral, branded merchandise, and event materials.
- Assist with vendor coordination, shipping schedules, and logistics for conferences and organizational events.
- Support EPI Chapter Event processing during peak submission periods.
- Assist with maintaining event checklists, inventory documentation, and post-event operational records.
Position qualifications and skills:
- 1–2 years of experience in a marketing, communications, or administrative support role.
- Strong organizational, project coordination, and time management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent proofreading, editing, and attention to detail, with a commitment to quality and brand consistency.
- Strong written, verbal, and interpersonal communication skills.
- Proficient in Microsoft Office, Google Workspace, and comfortable learning new marketing platforms, project management software, AI tools, and technology.
- Familiarity with marketing platforms such as HubSpot and Canva.
- Familiarity with project management platforms such as Teamwork.com or similar platforms.
- Strong problem-solving skills with a proactive mindset and a desire to improve processes.
- Ability to work independently and collaboratively with cross-functional teams.
- Comfortable organizing digital files, maintaining documentation, and managing shared resources.
- Flexible, dependable, eager to learn, and willing to support evolving team priorities.
Other Position Information:
- Hours: Monday – Friday 8am – 5pm
- This is a hybrid, full-time position
- Monday, Tuesday, and Wednesday in office, Thursday and Friday optional work from home*

- Salary Range: $42,500-47,500
- Upon 90 Days in the full-time position:
