The Development Specialist supports Pinellas PAL’s mission by securing and sustaining financial resources through grant management, donor stewardship, and strategic fundraising support. This role is responsible for researching and writing grant proposals, managing grant timelines and reporting requirements, maintaining relationships with funders and donors, overseeing donor database accuracy, and supporting the organization’s overall development efforts.
This position requires strong organizational, communication, writing, and time management skills, along with the ability to manage multiple priorities and deadlines. Work is evaluated through the quality and timeliness of grant submissions and reports, successful donor stewardship, accurate recordkeeping, and achievement of organizational funding goals.
Reports to: Executive Director
Work Location: Remote position with flexible work hours; occasional in-person attendance may be requested for key meetings, donor events, or organizational needs.
Job Requirements:
- Relevant grant writing, fundraising, development, communications, or related work experience preferred
- Associate’s or Bachelor’s degree in nonprofit management, communications, public administration, business, English, or a related field preferred
- Proficiency in Microsoft Office Suite, Google Workspace, and fundraising database software (e.g., Little Green Light, Salesforce, or similar CRM platforms) preferred
- Strong written and verbal communication skills with the ability to craft compelling grant proposals, donor communications, and reports
- Ability to work independently with minimal supervision, manage multiple priorities, meet deadlines, and proactively identify solutions to challenges
- Strong attention to detail and ability to maintain accurate records and meet deadlines
- Ability to maintain a flexible schedule as needed to meet grant deadlines, complete time-sensitive funding opportunities, and support critical development priorities
- Must pass a Level 2 Background Check conducted by the Pinellas County Sheriff's Office, as well as additional fingerprinting with the Department of Children and Families (DCF). https://info.flclearinghouse.com/
Essential Duties and Responsibilities*
Grants Management and Development:
- Research, identify, and pursue grant opportunities and other potential funding sources aligned with Pinellas PAL’s mission, programs, and strategic priorities.
- Maintain a grant calendar to track funding opportunities, proposal deadlines, reporting requirements, and renewal timelines to ensure timely completion of all development activities.
- Write, submit, and manage grant proposals, ensuring compliance with deadlines, requirements, and funding guidelines.
- Track grant funding, deliverables, outcomes, and reporting requirements to ensure timely and accurate submission of all required grant reports and continued compliance with funding agreements.
- Maintain relationships with funders and provide regular updates, including impact reports and success stories.
- Collaborate with program staff and leadership to ensure grants are implemented and documented according to funding agreements.
- Assist in developing and implementing annual fundraising and development strategies to support organizational funding goals.
Donor Relations and Stewardship:
- Assist the Executive Director in cultivating and maintaining strong relationships with donors, sponsors, funders, and community stakeholders to sustain and expand financial support.
- Assist the Executive Director in maintaining regular written and verbal communication with donors and sponsors.
- Prepare and promptly send appreciation letters and acknowledgments to donors and sponsors.
- Manage donor contributions and maintain accurate donor records, including data entry, organization, cleanup of existing records in Little Green Light, and assistance with the transition and migration to Salesforce or other future donor management platforms.
Administration and Reporting:
- Maintain organized records of grants, reports, donor information, and funding data.
- Prepare periodic reports on grant outcomes, fundraising efforts, and development metrics for leadership and the Board of Directors.
- Assist in tracking development goals, timelines, and fundraising priorities.
