PRINCIPAL PURPOSE OF JOB: The Treatment Coordinator is responsible for patient care and interaction during their visits to the office and performs a variety of tasks related to supporting the clerical and business functions of the practice.

- Answering the telephone and greeting patients in person in a friendly, helpful manner
- Adhering to HIPAA standards at all times
- Reviewing all patient paperwork before the patient is allowed to leave the appointment (i.e. when the dental assistant brings you the patient router and paperwork, you must ensure that all paperwork is complete and that we have an updated phone number, email address and medical history)
- Scheduling and confirming appointments, in order to keep the doctor's schedule full and productive
- Prepping for and presenting treatment plans for work to be completed
- Checking patients out
- Printing walk out statements
- Maintaining the doctors’ schedules to meet goals set by the management team
- Sending pre-determinations to insurance companies
- Verifying insurance eligibility for same day treatment patients
- Following up on predeterminations for insurance and scanning into patient chart
- Making confirmation calls to patients
- Prepping all patients at least one day ahead of appointments per the Treatment Coordinator SOP
- Documenting all conversations with a patient in Denticon-patient notes
- Keeping track of patients in and out lab cases including all cases that have been delivered for patients before their appointment and documenting any communication in Denticon patient notes
- Ensuring that dental assistants and hygiene assistants are deleting work that is “old” (over a year)
- Marking treatment plans as accepted when scheduled in Denticon
- Collecting co-pays for insured patients
- Run unpaid co-pay report end of the week and call patients
- Collecting payments on accounts that are past due using 30/60/90-day collection
- Referring patients to specialists when deemed necessary by the doctor in Denticon for company referrals and paper for outside referrals
- Opening or closing as scheduled
- Balancing money drawer at the end of the night and making deposits if needed
- Attending and actively participating in daily huddle with the doctors and dental assistants
- Scanning documents in a timely manner to ensure available when needed
- Run unsigned progress note report daily and have provider sign before leaving for the day
- Send Medical Consults when required by provider and following up to make sure they are returned prior to appointment
ADDITIONAL JOB FUNCTIONS:
- Knowing and utilizing all forms in patient charts
- Knowing teeth names, numbers, and surface names Learning dental codes and flow of different procedures
- Assisting in training others as needed
QUALIFICATIONS:
Education/Certificates/Licenses/Training/Requirements
- High School Diploma/equivalent (GED) required
- Must be able to operate a computer - be proficient in Microsoft programs including, but not limited to, Excel, Access, Outlook, and Word - be able to learn other software programs required by the department
- Must be able to do basic accounting and mathematical computations with a high degree of accuracy
- Must have the ability to handle multiple interruptions and adjustments to priorities throughout the day
- Must have the ability to communicate effectively with diverse individuals and to handle calmly and efficiently situations ranging from routine and emergency
- Must have excellent memory and organizational ability, in order to set priorities, organize, and handle multiple responsibilities Physical
- Ability to sit at a workstation for extended periods
- Ability to stand, work, and drive throughout the day if necessary
- Occasional ability to lift, carry, and put away parcels weighing up to 35 lbs.
- Occasional ability to travel to other locations and transfer parcels weighing up to 35lbs to other locations. Use of Tools Standard office equipment including but not limited to, personal computer, two-way radio, multi-line telephone system, fax machine, copier, and calculator.
WORK ENVIRONMENT:
Most of the work is performed in a fast-paced office setting with frequent interruptions. Some of the work may be performed at any of the Signet offices.
