We are looking for a highly organized, customer-focused Administrative Assistant to support our Fire Large Projects teams. In this role, you will work closely with Project Managers, Account Executives, field teams, vendors, subcontractors, and customers to help coordinate daily operations, maintain project documentation, support billing activities, and keep department processes moving efficiently. What You'll Do

Support Project Managers and department leadership with daily administrative and operational tasks

Coordinate communication between customers, vendors, subcontractors, and internal teams

Maintain and organize project documentation, drawings, closeout packages, and department records

Keep project tracking systems, department boards, and ERP records accurate and up to date

Assist with billing, collections, reporting, and customer/vendor setup

Review employee time entries for payroll accuracy and follow up on missing or incorrect submissions

Help ensure projects, documentation, and department operations remain organized, compliant, and on schedule

0-2 years of administrative experience

High School Diploma or Equivalent (required)

Strong data entry skills with the ability to input and update information accurately across
multiple systems or databases. -
Ability to review and verify information for errors, inconsistencies, or missing data and
make corrections as needed. -
Ability to read, write, hear, speak and comprehend English

Excellent written and verbal communication skills

Customer Service driven

Intermediate skill in MS Office suite

Ability to work overtime (when requested/needed)
