Job Overview:
As a Part Time Front Desk Admin, you will be the first point of contact for our patients and visitors. Your role will include managing the reception area, handling patient inquiries, supporting the clinical team with scheduling, and ensuring that office operations run efficiently. You will play a crucial part in creating a positive and professional atmosphere that contributes to the overall patient experience.
Key Responsibilities:
- Patient Reception: Greet and welcome patients in a friendly, professional, and empathetic manner. Ensure that they feel comfortable and informed during their visit.
- Appointment Scheduling: Manage the clinic’s appointment calendar by scheduling, rescheduling, and confirming patient appointments for therapy, evaluations, and medication management. Coordinate with providers to minimize scheduling conflicts and delays.
- Phone and Email Communication: Answer phone calls, respond to emails, and direct patients to appropriate departments or staff members. Provide accurate information about services, office hours, and general clinic policies.
- Patient Check-In/Check-Out: Facilitate patient check-in and check-out processes. Verify patient information, collect co-pays, and ensure any necessary documentation is completed before sessions.
- Record Keeping: Maintain accurate and organized patient records in compliance with HIPAA and clinic standards. Ensure that all required forms are properly filled out and stored securely.
- Insurance Verification: Assist with insurance verification and processing, ensuring that all necessary information is accurate and up to date.
- Billing Support: Collect co-pays, send pre authorizations and collect outstanding balances at check-out. Work with the billing department to ensure that payments and billing inquiries are addressed.
- Office Organization: Keep the front desk area tidy, organized, and stocked with necessary materials such as forms, brochures, and patient information packets.
- Collaboration: Work closely with clinicians, office managers, and other administrative staff to ensure smooth clinic operations and excellent patient care.
- Confidentiality & Compliance: Adhere to HIPAA privacy standards and clinic policies, ensuring the confidentiality of patient records and sensitive information at all times.
- General Administrative Support: Assist with filing, faxing, and scanning documents. Support the clinic’s administrative team as needed with clerical tasks and office organization.

Qualifications:
- Experience: At least 1 year of administrative or front desk experience, ideally in a healthcare or behavioral health setting. Experience working with patient management systems or electronic health records (EHR) is a plus.
- Skills:
- Strong communication skills with the ability to interact professionally and empathetically with patients.
- Excellent organizational skills and attention to detail.
- Ability to multitask and manage time efficiently in a busy, fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (phones, fax machines, copiers).
- Familiarity with HIPAA regulations and patient confidentiality practices.
- Education: High school diploma or equivalent required. Some college coursework or a degree in healthcare administration, psychology, or related field is a plus.
