Nature of Work in this Position: The primary responsibility of this position is to support the Sales Manager in onboarding new groups and servicing a portfolio of prospective, new and existing clients. The role is responsible for maintaining organized and accurate group files and CRM records; preparing renewal proposal documents, assisting with presentations; cultivating strong business relationships. The representative ensures that client interactions reflect StayWell mission, vision, and values.
Illustrative Examples of Work:
Client Service & Relationship Management
- Respond to inquiries related to group insurance, policy details, membership cards, and other account-related matters.
- Build and maintain strong relationships with new clients and deepen engagement with existing clients.
- Gather client and prospect feedback and communicate insights to the Sales Manager.
- Conduct and assist with presentations for new groups and open enrollment sessions.
- Follow up with group points of contact to obtain signed contracts and renewals, ensuring timely submission.
Sales Support & Lead Management
- Actively generate new leads through cold calling and outreach efforts.
- Meet performance goals for lead generation and CRM activity.
- Research and qualify leads before routing them to the Sales Manager through the CRM system.
- Schedule sales meetings and coordinate related logistics.
Documentation & Proposal Preparation
- Maintain, organize, and update group files and CRM records, including contact information.
- Prepare renewal and proposal letters in a timely manner.
- Collect and distribute annual contracts for new and existing groups.
- Review and intake small group applications for accuracy and completeness; coordinate with clients and the Actuary team to resolve missing information.
- Gather group demographics and other required data to prepare accurate proposals.
Operational & Administrative Support
- Pick up and deliver account documents, payments, and marketing materials as needed.
- Assist with commercial group early refund distribution.
- Prepare and distribute annual corporate gifts.
- Support ongoing maintenance and updates of the CRM system.

Minimum Experience and Training:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- A high school diploma or equivalent; College degree preferred
- Minimum one (1) year experience in office work
- Customer service experience desirable
- Proficient in the use of Microsoft Office (Excel, Word, PowerPoint, Outlook) and
- Computer literate (Windows).
