About the Role
Epic Construction is growing, and our project pipeline is outpacing our bench of trade partners. We're hiring a Vendor & Subcontractor Coordinator to fix that — finding, vetting, and onboarding the crews and suppliers who do the work.
This is a phone-and-relationships job. Many of the best crews aren't on job boards or bidding platforms — they come from referrals, jobsite conversations, and supply house connections. You'll be the person who tracks them down, gets their paperwork in order, and keeps them in the rotation.
What You'll Do
- Actively recruit subcontractors, crews, and suppliers across all trades — cold calls, referrals, supply house contacts, jobsite conversations, and local trade networks
- Run prequalification: collect and verify licenses, general liability and workers' comp insurance, W-9s, and references
- Maintain the vendor database — trades, service areas, crew size, capacity, pricing history, and compliance status
- Solicit and track pricing; keep at least two or three qualified options bidding every scope
- Onboard new subs: walk them through contract terms, insurance requirements, invoicing and pay schedule, and site expectations
- Chase expiring insurance certificates and licenses before they lapse
- Keep tabs on crew availability so project managers know who can actually start next week
- Collect performance feedback from the field and flag subs who don't show, don't finish, or don't clean up
- Coordinate with estimating, project management, and accounting to keep vendor information flowing
What You Bring
Required
- 2+ years in construction, trade coordination, procurement, or a related role
- Working knowledge of construction trades and realistic pricing
- Comfort making cold calls and following up persistently; a lot of this work is dialing crews who don't answer the first time
- Understanding of certificates of insurance, W-9s, and independent contractor requirements
- Organized and detail-oriented; you catch an expiring COI before the field does
- Proficient in Excel and comfortable learning new software
Preferred
- Existing relationships with subs and crews
- Bilingual (English/Spanish)
- Experience with a CRM
- Knowledge of local permitting and disposal requirements
