We are looking for an experienced, energetic, and highly organized Front Desk Coordinator/Chiropractic Assistant who enjoys helping people and wants to play an important role in the success and growth of our practice.
This is not simply a position for someone to answer phones and check patients in. We are looking for a confident team player who can create an exceptional patient experience, keep the office organized, communicate effectively, and help the day run smoothly.
Position Summary
The Front Desk Coordinator/Chiropractic Assistant is often the first and last person our patients interact with. This person must be warm, professional, attentive, and comfortable managing several responsibilities at once.
The position combines patient service, scheduling, front-desk operations, collections, office organization, and clinical support. The ideal candidate takes initiative, follows established procedures, communicates well with patients and coworkers, and remains calm and positive in a busy environment.
Primary Responsibilities
- Greet every patient warmly and create a positive, professional experience
- Answer incoming calls and respond to patient questions
- Schedule, confirm, reschedule, and manage patient appointments
- Maintain an efficient schedule and help keep patients on their recommended care plans
- Check patients in and out accurately
- Collect payments and explain basic office and payment policies
- Communicate with patients by telephone, text, and email
- Assist with patient recall and follow-up when appointments are missed
- Maintain accurate patient records and protect patient confidentiality
- Help manage patient flow between the front desk and clinical areas
- Communicate with doctors and team members throughout the day
- Assist with basic chiropractic therapies and clinical procedures after training
- Monitor office and clinical supplies and assist with inventory
- Maintain a clean, organized, and welcoming front-office environment
- Follow HIPAA requirements and established office procedures
- Participate in team meetings, training, goal setting, and practice-growth activities
- Identify problems, take initiative, and help develop practical solutions
What We Are Looking For
- At least one year of front-desk, customer-service, or administrative experience
- Previous chiropractic, medical, dental, wellness, or healthcare-office experience preferred
- Friendly, confident, and professional communication skills
- Strong organizational skills and close attention to detail
- Ability to multitask and remain composed in a fast-paced environment
- Dependable attendance and punctuality
- Comfortable discussing scheduling, payments, and office policies with patients
- Willingness to learn our procedures and consistently follow established systems
- Ability to work collaboratively while also taking initiative
- Comfortable using computers, electronic health records, texting systems, and office software
- Experience with ChiroTouch or similar practice-management software is a plus
- Bilingual English/Spanish is a plus

Duties
- Greet patients warmly, verify insurance information, and manage patient check-in and check-out processes with professionalism and courtesy.
- Schedule appointments accurately using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth, ensuring optimal clinic flow.
- Collect and process payments, perform medical billing and coding tasks including CPT coding, ICD-9, ICD-10, and Medicare claims to ensure accurate reimbursement.
- Maintain organized medical records and review documentation for completeness and accuracy in compliance with HIPAA and clinical confidentiality policies.
- Verify insurance benefits, perform insurance authorization and verification procedures, and handle pre-authorizations as needed.
- Manage multi-line phone systems, respond to patient inquiries with excellent phone etiquette, and facilitate effective communication between staff and patients.
- Assist with clinical tasks such as intake procedures, updating health information, and supporting care plan documentation while adhering to medical terminology standards.
- Support clinic management by maintaining office supplies, filing documents efficiently using electronic or paper filing systems, and ensuring a clean, organized front desk environment.
Experience
- Prior experience working in a medical or dental office setting with familiarity in EMR/EHR systems such as Epic, Meditech, eClinicalWorks, or Dentrix is highly preferred.
- Demonstrated knowledge of medical billing processes including insurance verification, claims submission, and collections.
- Strong understanding of health insurance policies including Medicare guidelines and HIPAA regulations to ensure compliance.
- Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills of at least 10 key digits per minute for efficient documentation.
- Bilingual abilities are advantageous to serve diverse patient populations effectively.
- Experience with clinical confidentiality policies, medical terminology (including dental terminology if applicable), and health information management is essential.
- Previous clinic or hospital experience that includes front desk responsibilities, patient service delivery, and office management will be considered an asset.
