LOCATION: 100% on-Site - Alvin, TX
JOB SUMMARY
We are seeking an Administrative Assistant that provides administrative and organizational support to the office, field operations, and project management team. Responsible for maintaining Teams folders and project records, supporting daily office functions, and coordinating community care and property-owner issues.
RESPONSIBILITIES
- Provide general administrative and office support to management and project teams.
- Manage and organize Microsoft Teams folders, files, and project documentation.
- Maintain accurate electronic records, spreadsheets, correspondence, and project files.
- Assist with scheduling, meetings, data entry, reports, and routine office needs.
- Support project managers with documentation, tracking, and follow-up.
- Receive and document community care issues and construction-related complaints.
- Track community care issues through resolution and maintain supporting documentation.
- Coordinate issue resolutions with internal teams and property owners.
- Communicate professionally with customers, property owners, vendors, and other stakeholders.
- Monitor emails and requests, route issues appropriately, and follow up on outstanding items.
- Maintain confidentiality and accurate records of customer and company matters.
- Perform other administrative duties and special projects as assigned.
SKILLS
- Proven experience and knowledge with OSP engineering, ROW permitting, Railroad Permitting, Pole Applications including managing PLA engineering partners
- Intermediate knowledge of ArcGIS
- Proficient knowledge of AutoCAD
- Experience managing ROW permits across multiple jurisdictions
- Excellent leadership, communication, and coordination skills
MINIMUM REQUIREMENTS
- 2+ years of administrative, office, customer service, or construction-related experience preferred.
- Strong organizational, communication, and follow-up skills.
- Proficient with Microsoft Office, Excel, Outlook, and Teams.
- Detail-oriented and able to manage multiple priorities.
- Professional, dependable, and comfortable communicating with customers and the public.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
