Position Summary
The Operation Administrator is responsible for coordinating customer orders, maintaining accurate system transactions, preparing shipping documentation, and providing administrative support to warehouse operations. This role serves as the primary liaison between customers, warehouse operations, transportation, and internal departments to ensure accurate and timely order fulfillment.
Essential Duties & Responsibilities
· Process customer orders accurately and timely in the Warehouse Management System (WMS).
· Coordinate daily inbound and outbound shipments with warehouse operations.
· Prepare shipping documents, Bills of Lading (BOL), packing lists, shipping labels, and related documentation.
· Communicate with customers regarding order status, shipment schedules, inventory inquiries, and special requests.
· Monitor order progress and resolve shipment discrepancies promptly.
· Perform inventory adjustments, investigate inventory discrepancies, and maintain accurate inventory records.
· Coordinate with transportation providers and internal teams to ensure on-time deliveries.
· Generate daily, weekly, and monthly operational reports.
· Maintain customer files, shipping records, and operational documentation.
· Assist in scheduling appointments for inbound deliveries and outbound shipments.
· Support cycle counts, physical inventories, and inventory reconciliation.
· Respond to customer emails and phone inquiries professionally.
· Assist warehouse management with administrative projects and operational support.
· Perform other duties as assigned.
Qualifications
· Associate's degree preferred or equivalent work experience.
· Minimum 1 years of warehouse administration, logistics, or customer service experience.
· Experience in a 3PL warehouse environment preferred.
· Experience using Warehouse Management Systems (WMS).
· Strong Microsoft Office skills, especially Excel and Outlook.
· Excellent organizational and time management skills.
· Strong communication and problem-solving abilities.
· Ability to work in a fast-paced warehouse environment.
· Bilingual in English and Mandarin Chinese is preferred.
Preferred Skills
· Knowledge of inventory control processes.
· Experience coordinating customer accounts.
· Familiarity with UPS, FedEx, LTL, and parcel shipping.
· Strong attention to detail and accuracy.
· Ability to prioritize multiple tasks with minimal supervision.
Job Type: Full-time
