Are you a highly organized, empathetic professional thriving in a dynamic, high-volume environment? SCV Counseling Center is a high-volume facility seeking an experienced Client Care Coordinator to join our growing team. As the very first point of contact for our organization, you will play a crucial role in providing exceptional client service, handling complex scheduling logistics for 30+ therapists, and supporting both new and existing clients.This role is fast paced with little downtime, requiring a proactive multitasker who can maintain a warm, welcoming presence while ensuring discretion and confidentiality.
Duties
- Client intake and onboarding: Handle new client profile setups including matching individuals to services based on insurance coverage, and efficiently send out intake forms and telehealth links.
- Communication and phone management: Manage heavy inbound and outbound phone volumes, confidently handling inquiries and client follow-ups.
- Appointment and reschedule management: Send reminders for next-day appointments to minimized missed sessions. Actively follow-up on client “no shows” and expediently handle all reschedule requests to prevent any gaps in client care.
- Schedule coordination: Balance complex calendars for 30+ therapists. Proactively manage scheduling to ensure all clinicians have a designated lunch break and that transitions run smoothly.
- Office presentation and client comfort: Maintain an immaculate, professional reception environment. Offer refreshments to clients upon arrival, and ensure communal spaces remain tidy, stocked, and welcoming (including handling lobby trash, light tidying, and refreshing the fridge/snack shelves).
- Data security: Strict adherence to privacy regulations, ensuring you consistently maintain and protect client confidentiality at all times.
- Support: Other duties as assigned.
Requirements
- Education: High School Diploma or equivalent required. Some college experience is preferred.
- Experience: Proven experience in client service within a mental health facility, medical practice, or healthcare office setting.
- Technical skills: Proficiency with electronic health records (HER) and therapy office management software such as SimplePractice.
- Operational Strengths: Ability to excel in a high-volume, fast-paced environment with minimal downtime. Strong communication skills (both written and verbal) when interfacing with clients and clinical staff.
- Mindset: Strong organizational, multitasking, and problem-solving abilities. Able to work both independently and as a vital piece of a collaborative team.

Pay: $23.00 - $25.00 per hour
