Overview
We are seeking a highly organized and motivated Front Desk Assistant to join our team. The ideal candidate will be the first point of contact for our patients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a friendly demeanor, strong communication skills, and the ability to multitask effectively in a fast-paced environment. You will play a vital role in shaping the patient experience. The ideal candidate will manage patient check-ins, coordinate complex dental schedules, handle a multi-line phone system, and streamline financial and insurance processes. Your ultimate goal is to keep our daily operations running efficiently while ensuring patients feel welcomed, supported, and cared for.
Responsibilities
- Greet and assist patients and visitors in a professional manner.
- Manage multi-line phone systems.
- Handle incoming and outgoing correspondence, including emails and mail.
- Maintain an organized front desk area, ensuring it is welcoming and tidy.
- Perform data entry tasks, including maintaining patient records and scheduling appointments.
- Reconcile end of the day reports.
- Assist with calendar management for appointments and meetings.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Perform clerical duties such as filing, proofreading documents, and typing reports.
- Support office management tasks to ensure smooth daily operations.
- Occasionally reaching out to insurance regarding patients' benefits and eligibility or pre-authorizations.
- Collaborate with team members to enhance overall office efficiency.
Requirements
- Proven experience in a front desk or receptionist role is preferred.
- Strong customer service skills with a focus on patient satisfaction.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with multi-line phone systems and excellent phone etiquette.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong computer literacy with experience in data entry and clerical work.
- Time management skills to prioritize tasks effectively in a busy environment.
- Previous experience as a dental or medical receptionist is a plus but not required.
