Front Office Client Coordinator Opportunity

Aria Aesthetics is excited to be expanding into our beautiful new Hollister location, and we are seeking a Front Office Client Coordinator to help deliver an exceptional experience for every client who walks through our doors.
This position is ideal for a polished, professional, and highly organized individual who thrives in a client-focused environment and enjoys being an integral part of a growing business. The Front Office Client Coordinator serves as the face of Aria Aesthetics, creating a welcoming, luxury experience while supporting daily operations, client communications, retail sales, marketing initiatives, and treatment providers.
As our practice continues to grow, this position offers significant opportunities for advancement into a larger or full-time role with additional benefits.
Position Details
- Initial schedule: Approximately 24 hours per week (3 days per week, 8-hour shifts) with opportunity for increased hours and full-time employment as the business grows
- Target opening: Approximately mid-August, subject to construction completion and applicable city approvals.
Key Responsibilities
Client Experience & Front Desk Operations
- Greet clients warmly and provide an exceptional client experience from check-in to check-out
- Answer incoming phone calls professionally and efficiently
- Assist clients with scheduling, rescheduling, confirmations, and appointment management
- Respond to client inquiries and provide outstanding customer service
- Process payments and perform cashier duties
- Maintain an organized, welcoming, and professional reception area
- Assist with daily administrative and operational tasks
Administrative & Clinical Support
- Utilize electronic medical record (EMR), scheduling, and practice management software to manage appointments, client records, and communications
- Complete patient follow-up communications after treatments
- Assist with client intake and documentation processes
- Take professional before-and-after treatment photographs
- Maintain accurate records while ensuring confidentiality and HIPAA compliance
- Support efficient daily operations through strong organization and attention to detail
Treatment Room & Provider Support
- Assist with treatment room setup and preparation
- Turn over treatment rooms between appointments
- Restock supplies and maintain organized treatment areas
- Support providers with operational needs throughout the day
- Help maintain a clean, polished, and professional spa environment
Retail Sales, Marketing & Events
- Educate clients on skincare and retail products
- Recommend products consistent with provider treatment plans
- Meet and exceed retail sales goals
- Assist with social media content creation and marketing initiatives
- Support community outreach, promotions, and special events
- Assist with open houses, educational seminars, client appreciation events, and other spa activities
Qualifications
- High School Diploma minimum. College Education Preferred
- Spanish-speaking candidates preferred
- Previous experience in customer service, hospitality, medical office, aesthetics, wellness, retail sales, or related fields preferred
- Experience with scheduling software, practice management systems, EMRs, and point-of-sale systems preferred
- Strong computer skills and ability to learn new software quickly
- Excellent verbal and written communication skills
- Experience with Canva, Social Media Marketing & Content Creation preferred
- Strong organizational and multitasking abilities
- Ability to prioritize responsibilities in a fast-paced environment
- Sales experience and confidence recommending products and services preferred

Compensation & Perks
- Competitive hourly beginning pay: $20–$25 per hour, depending on education, experience, and qualifications
- PLUS retail product sales commission
- 5% commission on retail product sales, with opportunities for increased commission through a tiered structure as monthly retail sales goals are achieved. Commissions apply only to eligible retail product sales and do not apply to medical treatments or prescription products
