Contract Administrator
Institute on Aging | San Francisco, CA (Onsite 2-3 Days/Week) | $31 to $33/hour
If you're the person your team counts on to know exactly where a document is, whether a contract is about to expire, and how to keep a records system running like clockwork, we'd like to meet you. Institute on Aging is looking for a Contract Administrator to keep our Contracts Department organized, accurate, and audit-ready as we continue expanding programs that help older adults and adults with disabilities live independently and with dignity.
About the Role
As Contract Administrator, you'll be the backbone of our contract recordkeeping, managing everything from uploading executed agreements into our Contract Lifecycle Management (CLM) system to tracking renewal dates and responding to internal requests for documentation. This is a highly organized, detail-driven role for someone who takes pride in clean files, accurate data, and being the person people trust to find the right document fast.
What You'll Do
- Upload executed contracts, amendments, and supporting documentation into the CLM system accurately and on time
- Maintain organized, up-to-date digital contract files with proper version control
- Track contract status, expiration dates, and renewal timelines
- Respond to internal requests for contracts and related documentation
- Keep contract records complete, accurate, and audit-ready at all times
- Generate reports and dashboards from the CLM system as requested
- Support internal users with navigation and document retrieval in the CLM system
- Contribute ideas for improving contract documentation processes and workflows
- Provide general administrative support to the Contracts Department as needed
What You Bring
- 5 to 6 years of experience in administrative work, contract administration, records management, or a related field
- Associate or bachelor's degree preferred, or an equivalent combination of education and experience
- Experience with a Contract Lifecycle Management (CLM) platform or similar document management system preferred
- Strong attention to detail and a genuine commitment to data accuracy
- Excellent organizational and document management skills
- Ability to juggle multiple priorities and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with e-signature platforms such as DocuSign preferred
- Discretion when handling sensitive and confidential information
- A strong internal customer service mindset, responsive and easy to work with
- Basic understanding of contract terminology and structure, with the ability to spot key provisions and support preliminary contract review under direction
