Subpoena Clerk / Legal Assistant
Location: Miami, Florida
Victor, Shaw & McCue is seeking an experienced, organized, and detail-oriented Subpoena Clerk to join our legal team in Miami, Florida.
This role is responsible for preparing, issuing, tracking, and following up on non-party subpoenas. The right candidate will be comfortable communicating with medical providers, businesses, government agencies, and other third parties to obtain records and help ensure timely compliance with subpoena requests.
This is a fast-paced position that requires strong follow-through, sound judgment, and the ability to manage multiple deadlines without losing track of the details.
Responsibilities
- Prepare and issue non-party subpoenas accurately and efficiently
- Track outstanding subpoenas, records requests, response dates, and compliance deadlines
- Follow up with medical providers, businesses, government agencies, and other third parties
- Communicate professionally with records custodians, attorneys, legal staff, and outside organizations
- Review incoming records and correspondence for accuracy and completeness
- Maintain organized electronic and physical files
- Document all communications, follow-up efforts, and subpoena activity
- Identify delayed or incomplete responses and take appropriate follow-up action
- Manage multiple assignments and competing deadlines
- Provide additional legal and administrative support as needed
Qualifications
- At least one to two years of legal assistant, legal clerk, or related law office experience
- Experience preparing, issuing, tracking, and following up on non-party subpoenas is strongly preferred
- Exceptional organizational skills and attention to detail
- Ability to prioritize assignments and manage multiple deadlines
- Strong written and verbal communication skills
- Professional, persistent, and comfortable following up with third parties
- Ability to work efficiently in a fast-paced legal environment
- Strong computer skills and experience working with electronic documents and case files
- Ability to handle sensitive and confidential information appropriately
