The Administrative Assistant aids and supports building administrators and staff to ensure the effective and efficient operation of the school.
QUALIFICATIONS: Two-year degree in clerical/office management preferred, or five years’ experience performing the duties and responsibilities associated with this position in a school environment. Must possess strong organizational, problem-solving, and computer application skills. At a minimum, must possess working knowledge of Google Workspace, Microsoft 365, and various desktop publishing programs (Canva, Publisher, etc.).
REPORTS TO: Executive Director and Assistant Principals
PAY RATE: $25 - $27/hr.
DUTIES AND RESPONSIBILITIES:
· Maintain a positive attitude and style that contributes to the overall public relations of the school in line with our vision, mission, and core values.
· Prepare letters and documents for Administration and maintain a schedule of appointments.
· Maintain a filing system for correspondence and records.
· Work with Administration to prepare state and federal reports.
· Receive, review, and coordinate Admissions applications through the Admissions software database for lottery, communicating with prospective applicants, scheduling interviews, and coordinating documentation for admission.
· Accumulate data for State Department of Education PSIS system, ensuring accurate records for uploading reports, summer roll-up, discipline reports, and address records.
· Record bank deposits for operating and student class accounts and deliver these deposits to the Bookkeeper for bank deposit.
· Maintain an accurate record of accounts receivable and monthly cash flow activity.
· Assist with preparing files for the fiscal year preliminary and final audit.
· Assist with coding and posting invoices for delivery to the bookkeeper.
· Maintain and monitor an accurate key and key fob distribution system.
· Order supplies for the office and all staff and maintain inventory of those most frequently used.
· Place orders through current vendors and inform Staff of options and availability.
· Maintain an online group Amazon Business Ordering Account and seek authorization for pending orders.
· Answer phones for the school and forward and/or take messages as appropriate.
· Assist with daily attendance to ensure accurate daily reporting.
· Assist in coordinating the graduation ceremony.
· Perform other duties as directed by the Administration.
Pay: $25.00 - $27.00 per hour
