The Beauty Lab is a leading medical aesthetics and wellness practice in Merrick, specializing in advanced, results-driven treatments including injectables, medical-grade skincare, IV therapy, and body contouring. Our practice combines clinical excellence with a luxury patient experience in a modern, high-end setting.
We are seeking an experienced Front Desk Coordinator with a background in medical offices, med spas, dermatology, or plastic surgery who understands the importance of patient care, compliance, and efficiency in a clinical environment. Experience working alongside Medical Assistants, RNs, Nurse Practitioners, or other clinical providers is strongly preferred. Experience using Aesthetic Record is a major plus. Medical Assistants and RNs with prior med spa or aesthetic experience are encouraged to apply.
Key Responsibilities
- Serve as the first point of contact for patients, delivering a professional, medically-focused check-in and check-out experience
- Manage patient communication (phone, text, email, EMR systems) with accuracy and urgency
- Schedule and coordinate appointments in alignment with provider availability, treatment protocols, and proper timing between services
- Maintain and update patient records within EMR systems while ensuring HIPAA compliance and confidentiality
- Educate patients on treatment plans, pre/post-care instructions, memberships, and medical-grade retail products
- Process payments, insurance-related documentation (if applicable), and maintain accurate financial records
- Support clinical staff with daily operations, chart preparation, and patient flow management
- Assist with inventory management of medical and retail supplies
- Maintain a clean, organized, and compliant front office and reception area
Qualifications
- Required: Prior experience in a medical office, med spa, dermatology, or plastic surgery practice
- Strong understanding of medical terminology, patient intake processes, and clinical workflow
- Familiarity with aesthetic treatments including neurotoxins (Botox), dermal fillers, laser treatments, and body contouring
- Experience using EMR systems and scheduling platforms (Aesthetic Record or similar)
- Knowledge of HIPAA regulations and patient privacy standards
- Excellent communication skills with the ability to handle sensitive patient interactions professionally
- Highly organized, detail-oriented, and able to multitask in a fast-paced clinical setting
- Professional, polished demeanor with a strong sense of accountability
- Flexible availability, including evenings and Saturdays
