Job Overview
We are seeking an organized and efficient Receptionist. In this role, you will be responsible for all administrative functions including, but not limited to, customer service, accounting, and accounts payable/receivable functions. This person reports to and lends assistance to the Director, but performs a majority of work unsupervised. Multitasking skills and public relations proficiency will ensure smooth office functioning and clear communication between customers and GLASWA.
Duties
- Manages phone, written, in person, and email communications with customers and vendors
- Corresponds with the Director and Technicians for certain customer requests & issues in a timely manner
- Handles all accounts payables, receivables, and general accounting functions
- Manages and liaises benefits for employees
- Creates and issues quarterly sewer and water billings
- Helps monitor the annual budget alongside the Director
- Responds to public inquiries using GIS maps and engineer drawings
- Prepares agendas, financials, and takes minutes of monthly meetings for the Sewer Board and Water Board (board meetings after hours)
- Logs in water samples, submits samples to the lab, and sends lab results to customers
- Prepares and supplies documentation for annual audit
- Prepares and submits monthly, quarterly, and annual taxes
- Responds to FOIA requests
Skills
- General office ethics, etiquette, and public relations skills
- Ability to prioritize job responsibilities independently and execute them accordingly
- Proficient verbal and written communication skills
- Ability to deescalate and professionally handle irate or upset customers
- At least two years of experience in accounting, accounts payable/receivable, and/or human resources
- Ability to multitask
Preferred Knowledge & Abilities:
- Bachelors or Associates degree in Accounting, Business, or a related field
- Ability to utilize and understand technical drawings and GIS maps
- Ability to review and interpret financing alternatives for capital improvement projects
