Job Summary
We are seeking a dynamic and highly organized Legal Assistant/Secretary to join our legal team. Duties
- Manage multi-line phone systems, screen calls, and direct inquiries with professionalism and courtesy
- Prepare, proofread, and organize legal documents, correspondence, and reports with precision
- Maintain and update case files, records, and databases using office management software and data entry skills
- Schedule appointments, court dates, meetings, and calendar management for attorneys and staff
- Handle client interactions at the front desk, providing exceptional customer service and support
- Assist with bookkeeping tasks using QuickBooks or similar accounting software for billing and invoicing
- Coordinate office supplies procurement and oversee general office management duties to ensure operational efficiency
- Utilize productivity software such as Microsoft Office and Google Workspace to create reports, presentations, and spreadsheets
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional phone etiquette with experience managing multi-line phone systems and customer support roles
- Bilingual abilities are highly desirable to assist diverse client needs
- Previous experience as a legal secretary or legal assistant is preferred but not required; relevant office management or personal assistant experience is a plus
- Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
- Strong proofreading skills to ensure accuracy in all documents and correspondence

Pay: $25.64 - $30.88 per hour
