The Opportunity
We are seeking a proactive and highly organized Executive Assistant to support the Executive Director across several healthcare, nonprofit, and business initiatives.
This is an ideal opportunity for someone who enjoys working closely with senior leadership, managing competing priorities, coordinating projects, and helping turn ideas and decisions into completed results.
The successful candidate will be professional, resourceful, detail-oriented, and comfortable taking ownership of assignments from start to finish.
What You’ll Do
- Manage the Executive Director’s calendar, meetings, travel, and daily priorities.
- Monitor communications and identify items requiring attention, response, or follow-up.
- Prepare concise executive briefings, reports, meeting notes, and business correspondence.
- Coordinate projects, deadlines, and action items across internal teams and external partners.
- Maintain task and project trackers to ensure important matters are completed on time.
- Follow up with responsible parties and provide clear status updates.
- Assist with business development, contracts, compliance matters, and special projects.
- Identify potential delays or risks and raise them before they become larger problems.
- Support improvements to administrative systems, workflows, and executive operations.
What We’re Looking For
- At least three years of experience supporting an executive, business owner, or senior leadership team.
- Strong organizational, prioritization, and project coordination skills.
- Excellent written and verbal English communication.
- Ability to manage multiple priorities with accuracy and sound judgment.
- Strong follow-through and a high level of personal accountability.
- Professional discretion when handling sensitive or confidential information.
- Proficiency in Microsoft Office, Google Workspace, and virtual collaboration tools.
- Experience with ClickUp or another project-management system is preferred.
- Healthcare, home care, nonprofit, or regulated-industry experience is a plus.
- Mandarin Chinese Bilingual strongly preferred.

Work Arrangement
Remote or hybrid, with occasional in-person meetings as needed. Candidates must be available during New York business hours.
An annual performance-based bonus is available for this position.

Pay: $25.00 - $27.00 per hour
