Job Title: Financial Administrative Assistant
Report to: Financial Advisor
Job Summary:
Parsons Financial Associates, INC is seeking a Financial Administrative Assistant to support our staff and assist in the daily operations of our Concord, NH office. The person in this position will manage business-related tasks for the office including setting appointments, communicating with clients, coordinating with custodians and investment companies to meet client needs, and managing business pipelines. To be successful in this role, one must be a team player, eager to serve clients, comfortable acting as a professional gatekeeper, and able to build trusted relationships with clients.
Essential Duties and Responsibilities:
- Serve as the first point of contact and gatekeeper for the Financial Advisor—answer and problem-solve incoming telephone, voice mail, e-mail, and in-person requests professionally and courteously
- Schedule, organize, and confirm appointments, meetings, and phone calls with current and prospective clients
- Build and maintain strong relationships with clients by delivering a responsive, high-touch service experience and coordinating timely follow-up
- Prepare meeting agendas and materials; print and assemble packets as needed; and ensure the conference room is prepared for client meetings (room set-up, refreshments, and technology readiness)
- Update website and social media sites with relevant event information and market commentary
- Prepare, organize, coordinate, and maintain all client paperwork
- Complete client paperwork with clients, both in person and via Docusign, and maintain communication with the client about the status of accounts
- Coordinate account funding workflows including transfers (ACAT), rollovers, and related paperwork—understanding the different processes, timelines, and terminology; proactively track status and communicate updates
- Maintain client and other appropriate information in company software including but not limited to accurate and timely processing of updates and report requests
- Type and design general written and electronic correspondence
- Observe strict confidentiality of client information
- Maintains office supplies and facilitates contracts with office equipment vendors
- Document and continually improve office and client-service processes (e.g., client meeting workflow, gifting, follow-up cadence) to drive efficiency, leverage technology, and support a high-impact client experience
- Utilize financial platforms including Wealthport, eMoney, Redtail, and Microsoft Office Suite.
Non-Essential Duties and Responsibilities:
- Be available at the direction of the Financial Advisor for other duties and responsibilities including various projects

Job Requirements:
- Language Ability: Ability to read and interpret documents such as rules, instructions, and manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
- Mathematical Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or scheduled form.
- Computer Skills: E-mail, Internet software, spreadsheets and their macros, graphics, word-processing and company proprietary software used by the company. Typing skills in the 40-50 wpm range.
- Ability to follow verbal and written communications.
- Ability to communicate effectively with public and co-workers in a professional and courteous manner.
- Ability to express ideas clearly both in written and oral communications.
- Ability to self-motivate and work independently.
- Ability to organize and manage multiple priorities (time management).
Education/Experience:
Associate’s degree or equivalent from two-year college or technical school; and/or 3+ years of related experience in an administrative, client service, or operations role (financial services/wealth management strongly preferred); or equivalent combination of education and experience.

Pay: $51,000.00 - $65,000.00 per year
