LTC Billing & Data Entry Pharmacy Technician

ABOUT THE ROLE
Prior LTC, hospice, or institutional pharmacy billing experience preferred.
We are an independent pharmacy group serving long-term care facilities — including hospice providers, adult care homes, assisted living communities, and more — throughout the Wichita, KS area. We are seeking a detail-oriented LTC Billing & Data Entry Pharmacy Technician to join our full-time team.
You will be a primary point of contact for facility nurses, caregivers, hospice staff, and insurance payers throughout the day. The right candidate is equally comfortable on the phone and focused on accurate data entry and billing in SuiteRx pharmacy software.
JOB DUTIES
Phone & Communication
- Answer inbound calls from facility nurses, caregivers, hospice staff, physicians' offices, and insurance payers — serving as a knowledgeable, professional first point of contact for the pharmacy
- Triage calls appropriately — resolving billing, data, and account questions directly when possible, and routing clinical or pharmacist-required matters to the appropriate team member without delay
- Contact facility staff, nurses, and social workers by phone to obtain accurate insurance information, prior authorizations, and eligibility verifications for residents
Data Entry & Patient Records
- Enter new patient admissions, transfers, discharges, and medication order changes accurately and promptly into SuiteRx for all LTC, hospice, adult care home, SNF and assisted living accounts
- Maintain accurate and current patient profiles, insurance records, and physician order documentation in SuiteRx in compliance with state and federal regulations
- Record and file physician orders and prescription information according to pharmacy policy
Billing & Claims
- Process and submit claims to Medicare Part A/B, Medicaid, hospice per diem, and third-party payers through SuiteRx; work rejections and denials to resolution in a timely manner
- Coordinate monthly billing cycles in SuiteRx, including cycle-fill billing, ancillary charges, and facility invoice reconciliation for each LTC partner account
- Manage hospice benefit billing, including drug coverage determinations, related vs. unrelated medication classification, and coordination with hospice agency billing contacts
- Calculate, record, and issue charges accurately to ensure proper revenue capture
Reporting & Compliance
- Prepare and distribute billing reports, accounts receivable aging summaries, and facility-level reconciliation reports for pharmacy leadership review
- Adhere to HIPAA privacy standards and all applicable pharmacy compliance policies when handling patient, billing, and facility information — including over the phone
- Contribute to team goals and continuous improvement efforts in billing accuracy, turnaround time, and facility satisfaction
REQUIREMENTS
- Active registration with the Kansas State Board of Pharmacy, in good standing
- Comfort with high inbound call volume and strong phone communication skills
- Strong attention to detail and commitment to data accuracy
- Ability to manage multiple accounts and deadlines simultaneously
- Proficiency with computers and data entry systems
- Professional, patient-centered communication style
PREFERRED QUALIFICATIONS
- Prior LTC, hospice, or institutional pharmacy billing experience
- Hands-on experience with SuiteRx pharmacy software
- Familiarity with Medicare Part A/B, Medicaid, and hospice per diem billing
- Knowledge of prior authorization processes
- Experience working with adult care homes or assisted living facilities
