This is far more than a receptionist position—you will play a key role in the daily operations of the company, helping coordinate projects, support accounting, organize documentation, communicate with clients and subcontractors, and ensure our office runs efficiently.

Position Summary
The Office Administrator / Construction Project Coordinator serves as the operational hub of our office. You will work directly with the owner while supporting active construction projects from start to finish.
The ideal candidate is proactive, detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment. You will communicate daily with homeowners, HOA managers, vendors, subcontractors, suppliers, inspectors, and city agencies.
Fluent English and Spanish are required, as this position involves daily communication with Spanish-speaking field crews, subcontractors, vendors, and suppliers.
Responsibilities - Office Administration
- Answer incoming phone calls and emails professionally
- Welcome clients and visitors
- Maintain organized digital and physical filing systems
- Prepare professional correspondence, reports, proposals, contracts, and other documents
- Manage company calendars, meetings, appointments, and inspections
- Organize and maintain project files
- Process and organize incoming and outgoing mail
- Maintain office supplies and equipment
- Prepare documents using Adobe Acrobat and DocuSign
Project Coordination
- Assist in managing multiple construction projects simultaneously
- Schedule subcontractors, inspections, deliveries, and vendors
- Coordinate with city agencies regarding permits and inspections
- Maintain project schedules and monitor deadlines
- Track project progress and follow up on outstanding items
- Organize permits, inspection records, contracts, insurance certificates, change orders, and compliance documentation
- Communicate with HOA managers, homeowners, subcontractors, and suppliers
- Prepare project close-out documentation
Accounting & Bookkeeping
- Enter vendor invoices and project expenses
- Assist with Accounts Payable and Accounts Receivable
- Prepare customer invoices and payment requests
- Assist with payroll preparation
- Track employee hours by project
- Organize receipts and expense records
- Reconcile purchase orders and material receipts
- Assist with QuickBooks data entry and bookkeeping
Administrative Support
- Manage company email correspondence
- Maintain client and vendor databases
- Prepare spreadsheets, reports, and tracking logs
- Assist with purchasing office and project materials
- Maintain inventory of office supplies
- Support management with daily administrative tasks
- Assist with special projects and company initiatives
Required Qualifications
- Fluent in English and Spanish (speaking, reading, and writing)
- Minimum 2 years of office administration experience
- Excellent organizational and multitasking skills
- Strong written and verbal communication
- Exceptional attention to detail and accuracy
- Strong problem-solving skills
- Professional customer service and phone etiquette
- Ability to prioritize multiple projects and deadlines
- Ability to work independently with minimal supervision
- Strong computer proficiency
Preferred Qualifications
Experience in any of the following is highly desirable:

Software Experience
Experience with the following software is preferred:
