Overview
The Office & Dispatch Coordinator supports the daily operations of A-2-Z Glass by managing administrative tasks, coordinating customer communication, and ensuring the shop runs efficiently and professionally. This person is the first point of contact for customers, vendors, and partners, reflecting the friendly and family-owned brand image that defines A-2-Z Glass.
Responsible for:
Supporting the Owner (Managing Up):
- Bring solutions not problems
- Double checking work & being consistent
- Anticipating what the owner will ask before being asked
- Thinking one step ahead about how decisions impact customers, logistics, etc.
- Take notes, be detail-oriented, and support owner with follow-ups, reminders, and mission-critical tasks.
- Be able to take limited information, build on it, and execute well.
- Being concise in communication, asking for clarity, and flagging problems when they arise.
- Strive for clear communication and minimal owner involvement.
Customer Service and Communication
- Answer inbound calls, texts, and emails promptly and professionally.
- Schedule customer appointments and confirm details with technicians.
- Handle insurance claims coordination and payment follow-up.
- Update customers with job progress and completion follow-ups.
- Request customer Google reviews after each completed job.
Administrative Accuracy and Organization
- Input jobs into POS/CRM system accurately (VIN, glass type, insurance info, etc.).
- File and reconcile invoices, payments, and insurance submissions.
- Maintain organized digital and physical records of daily jobs.
- Support shop manager with weekly reports, receipts, and deposits.
Operational Support and Efficiency
- Prepare daily install schedule for customer and technician dispatch routes.
- Confirm all glass parts are ordered, delivered, and ready for next-day installs.
- Track job status from quote to completion to payment.
- Communicate with vendors about glass ETA and backorders.
Sales Support
- Provide quotes via phone, email, and walk-ins. Support Owner with handling coordinator of quotes, scheduling, and ordering.
- Record every lead and quote in CRM for follow-up.
Culture and representation
- Keep the front office and waiting area clean, stocked, and welcoming.
- Greet customers with warmth and professionalism.
- Participate in team check-ins and maintain positive shop morale.
- Uphold company values and represent the brand consistently.
Pay: $41,600.00 - $47,840.00 per year
