The Administrative Assistant for the School Counseling Office provides comprehensive administrative support to the counseling department and related school offices. This position requires exceptional organizational skills, strong time management, and the ability to successfully manage multiple responsibilities. The Administrative Assistant serves as a key point of contact for students, parents, faculty, and visitors while always maintaining confidentiality and professionalism. This position is a 10-month position that begins September 1 through June 30. Hours are from 7:15 AM to 3:15 PM.
Responsibilities:
● Provide administrative support for the School Counseling Office and assist multiple school offices as needed such as the business office and development.
● Manage calendars, schedules, appointments, meetings, and events for counselors and office staff.
● Answer phones, respond to emails, greet visitors, and direct inquiries appropriately.
● Maintain accurate student records, files, and confidential documentation.
● Prepare correspondence, reports, spreadsheets, presentations, and other office materials.
● Coordinate student appointments, testing schedules, transcripts, and counseling-related
communications.
● Assist with school events, programs, and special projects across departments.
● Monitor office supplies and maintain organized office systems and procedures.
● Support communication between students, parents, faculty, and administration.
● Prioritize and manage multiple tasks while meeting deadlines in a busy office environment.
Qualifications:
● Strong organizational and multitasking abilities.
● Excellent time management and attention to detail.
● Proficiency in Google Workspace (Docs, Sheets, Forms, Calendar, Gmail) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Trail Blazer, data base experience preferred).
● Strong written and verbal communication skills.
● Ability to maintain confidentiality and professionalism.
● Ability to work independently and collaboratively with multiple departments
● Previous administrative or school office experience preferred
