JOB DESCRIPTION
Dax F. Garza, P.C. is looking for a results-driven, systems-minded Head of Operations to take over the day-to-day running of the firm and build the operational foundation required to scale. This is a true Head of Operations role: a strategic partner who takes the owner's high-level vision and translates it into tactical execution plans, hiring budgets, and capacity forecasts, then leads the team to deliver on them.
The Head of Operations makes the firm run as smoothly and efficiently as possible. They design and implement the infrastructure, systems, and processes that boost productivity, reduce friction, and prevent day-to-day fires before they start. They anticipate and solve problems in a self-directed way, and they build and empower a team that can move fast while maintaining quality. The application code word is EMPOWER.
This role exists to free the owner to step fully into a CEO and litigation focus. You will own operations end to end, leading the firm through this growth chapter in close partnership with the owner.
This is a critical position within the business. As such, we host a rigorous, 4-part application process.
WHAT MAKES THIS ROLE UNIQUE
You will be building the operational engine of a highly profitable firm largely from the ground up. The firm has the revenue, the caseload, and the ambition; what it needs is the systems, structure, and people layer to support its next stage of growth.
Your ultimate objective is to take the operational load off the owner so they can transition strictly into a CEO and litigation role, while the firm continues to grow. You will partner closely with a driven, high-energy founder, which means this role rewards an operator with high emotional intelligence who is comfortable managing up, holding the line on priorities, and bringing calm and structure to a fast-paced environment.
RESPONSIBILITIES (TASKS ASSOCIATED WITH THE ROLE):
Strategic Leadership & Execution
- Partner with the owner to translate high-level growth goals into tactical execution plans, hiring budgets, and capacity forecasts
- Take over the day-to-day running of the firm so ownership can focus on litigation and strategy
- Build and own the operational roadmap that supports the firm's growth targets over the next three years
Team Building & Management
- Source, hire, train, and build out specialized teams and middle-management layers
- Transition overwhelmed generalist roles into highly efficient, specialized departments built to handle growing caseloads
- Build team capacity ahead of new case influxes, so the firm can absorb growth while maintaining quality and morale
Systems, Process & Automation
- Design, document, and roll out SOPs, KPIs, and structured meeting cadences across the firm
- Transform the firm's case management software into an automated execution machine, building step-by-step workflows, document merges, and task triggers that prevent human error
- Identify and eliminate administrative bottlenecks, converting highly manual tasks into streamlined, integrated systems
Data & Visibility
- Build out reporting and automation so leadership has clear, real-time visibility into case status, team performance, and firm health
- Organize and maintain the case database, establishing clear ownership, stages, and tracking across every active matter
REQUIREMENTS (EXPECTED PROFICIENCIES):
Experience (Non-Negotiable)
- Proven track record building and scaling operations in a fast-growing business, ideally a professional services firm
- Strategic team building and recruitment: demonstrated ability to source, hire, train, and build specialized teams and middle-management layers
- Systems architecture and automation: experience transforming underutilized software into an automated execution machine using flowcharts, document merges, and task triggers
- Workflow restructuring: a record of transitioning overwhelmed generalists into efficient, specialized departments to absorb sudden increases in workload
- Process optimization: experience identifying and eliminating administrative bottlenecks and converting manual processes into integrated systems

Financial Acumen
- Understanding of, or the ability to quickly grasp, the plaintiff personal injury business model, which operates on 100% contingency, 30 to 40% recoveries, 40 to 50% referral fees, and delayed 9-to-36-month payout horizons
- Comfort building hiring budgets and capacity forecasts tied to that model

- High emotional intelligence and resilience: able to absorb direct, fast-moving feedback without taking it personally while keeping the team steady and focused
- Candid and direct communicator with strong interpersonal, verbal, and written skills in English

WHAT SUCCESS LOOKS LIKE
- First 30 Days: Learn the business and the team deeply, build a strong working relationship with the owner, and map the current state of systems, caseload, and bottlenecks
- First 60 Days: Establish baseline KPIs, a meeting cadence, and the first round of documented SOPs; deliver early wins that build trust
- First 90 Days: Stand up core systems and automations, begin restructuring generalist roles into specialized functions, and create real-time operational visibility for leadership
- First 180 Days: Operate as the clear owner of day-to-day execution, with the owner increasingly extracted from operations and focused on litigation and CEO-level strategy
BENEFITS
- Compensation: $120,000 to $160,000 commensurate with experience
