Our reception team is the heart of our hospital. You are often the first voice our clients hear on the phone and the first person they see when they walk through our doors. Your kindness, professionalism, and attention to detail help create an exceptional experience for every pet and every family we serve.
We are looking for someone who genuinely enjoys helping people, loves animals, thrives in a fast-paced environment, and takes pride in keeping things organized. This role requires compassion, excellent communication skills, and the ability to multitask while maintaining a positive attitude–even on our busiest days.
Key Responsibilities
Client Care and Communication
- Welcome clients and patients with warmth, professionalism and compassion.
- Answer multiple phone lines promptly and courteously.
- Schedule appointments efficiently while understanding appointment types and doctor availability.
- Check patients in and out accurately.
- Provide clear communication regarding hospital policies, services and procedures.
- Handle client concerns professionally and seek assistance when necessary.
- Assist clients with medication refills, prescription requests and appointment reminders.
Administrative Duties
- Maintain accurate patient records.
- Process invoices, payments, and daily financial transactions.
- Verify client information and update medical records.
- Manage appointment confirmations and follow-up communications.
- Assist with estimates and financial discussions when appropriate.
- Maintain confidentiality of client and patient information.
Team Support
- Communicate effectively with veterinarians and technicians to ensure smooth patient flow.
- Relay messages accurately and promptly.
- Assist with coordinating emergencies and urgent appointments.
- Help maintain a clean, organized and welcoming reception area.
- Support fellow team members during busy periods.
Client Education
- Help clients understand preventative care recommendations.
- Educate clients about vaccines and routine services.
- Encourage scheduling of recommended follow-up appointments.
- Promote hospital services and products in a helpful, non-pushy manner.
Qualifications
- High school diploma or GED required.
- Previous customer service or receptionist experience is required.
- Veterinary or medical office experience is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Comfortable using computers and learning practice management software.
- Ability to remain calm and compassionate during emotional or stressful situations.
- Positive attitude with a willingness to learn.

Within the first six months, a successful client service representative will:

- Confidently manage appointments, phone calls, and client communication.

- Help create a welcoming environment where clients feel heard and valued.
- Contribute to smooth, organized workflow that supports excellent patient care.
Physical Requirements
- Standing or sitting for extended periods.
- Walking throughout the hospital frequently.
- Lifting up to 25 pounds.
- Occasional assistant handling pets of various sizes.
- Working in an environment with animal dander, odors, noise, and cleaning chemicals.
Compensation and Benefits
- $16-$20 per hour, DOE.
