JOB TITLE: Administrative Specialist
SUPERVISED BY: Guest Services Director
POSITION OVERVIEW:
The Administrative Specialist will support and actively contribute to fulfilling the goals and mission of Covenant Harbor. With the primary focus on efficiently managing all day-to-day aspects of the administrative office, this position will ensure excellence in serving as a critical first point of contact for inbound guests, parents, visitors, and vendors while also being responsible for owning business support services including database management, payment processing, and internal and external communication standards.

Additional desired skills or experience:
- Experience working in the field of Christian Camping or similar service industry
- Experience working in an administrative setting including database management and analysis
- Conversational abilities in Spanish
EDUCATION AND TRAINING REQUIREMENTS:
- A high school or equivalent degree or higher
- A valid driver’s license and a clean driving record
- Computer knowledge and significant experience in the use of Microsoft Office and Google Suite. An aptitude and willingness to become proficient in CampBrain and other database management systems
SPECIFIC DUTIES:
Under supervision of the Guest Services Director and working in cooperation the Administrative Team and other Covenant Harbor staff, the following are responsibilities for this position:
Registration Duties
- Manage functions of camper and guest registration for program retreats and events including payment processing, generating reports, and database management as needed.
- Own group registration process for programmed events.
Administrative Duties
- Responsible for administrative office coverage including primary responsibility for answering phones, sorting and responding to general email, and fulfilling in-person needs for guests while maintaining consistent communication standards with the Administrative Team.
- Responsible for sorting and distributing incoming mail and deliveries as well as processing outgoing mail.
- Ensure compliance with payment processing systems.
- Responsible for processing daily income deposit sheets and distributing accordingly.
- Manage office materials and supplies as needed for staff.
- Be a resource for camp with in-depth knowledge of all program areas and department functions to better serve each guest need that arises and ensure consistency in guest communications.
Departmental Support
- Assist Guest Services and Program Teams in functions involving Rental Group and Snake Road Adventure Center communication, generating reports, invoicing, payment processing, post-event follow up including accounts receivable and additional database management responsibilities.
- Assist Development Team in special projects such as mailings, event registration functions, and other special projects.
- Support Development Team in gift processing and gift receipting as needed.
- Assist all other departments with additional administrative projects as assigned.
Greater Covenant Harbor Ministry
- Be a positive, helpful and active member of the staff community.
- Support and help with retreats and events at Covenant Harbor.
- Help effectively maintain and steward Covenant Harbor’s resources.
- Teach and oversee Ministry Staff, other Covenant Harbor staff, and volunteers in shared tasks.
- Perform other duties as assigned.
WORK ENVIRONMENT:
The majority of duties of this position are conducted in an air-conditioned on site office environment. Office hours are mostly regular, but occasional flexible work hours are required during busy times. Work is divided between sitting in an office and working on a computer, talking on the phone and occasionally lifting up to 40 lbs. Exceptional stamina is required since the camp environment may require long days during certain times of the year and walking around camp may be necessary. Covenant Harbor is built on a large hill and although there are paved sidewalks, there are also many steps and steep inclines. Occasional travel may be necessary to assist with Covenant Harbor related programs or events.
