POSITION DESCRIPTION:
ROLE AND RESPONSIBILITIES
Provides administrative support to the Executive Director and Association staff. Duties include general clerical, receptionist, and project-based work. Projects a professional company image through in-person and phone interaction.
ESSENTIAL DUTIES
Executive Assistant duties will include providing a wide range of administrative support to the Executive Director, staff, and Board of Directors. To be able to work independently with little or no supervision.
- Answer telephones and transfer to appropriate staff members
- Meet and greet members and visitors
- Create, modify documents and run reports using Microsoft Office software
- Perform general clerical duties to include but are not limited to: record keeping, scanning, photocopying, faxing, mailing, and filing
- Maintain hard copy and electronic filing systems.
- Open, date stamp, and distribute mail and packages.
- Assist office manager in research, price, and purchase of office supplies
- Record and transcribe meeting minutes
- Assist with coordination of meetings and conferences
- Maintain hard copy filing system of minutes, meeting notes, and electronic mailings
- Support staff in assigned project-based work
- Work closely with Senior Director of Member Services with the preparation of workshops; including registering attendees, preparing packets, and issuing certificates of attendance
- Process all educational requests including grading tests, verifying compliance, data entry, and issuing certificates
- Arrange travel schedule and reservations for Executive Director
- Communicate and handle incoming and outgoing electronic communications on behalf of the Executive Director
- Work closely with staff to coordinate and launch hard copy or email campaigns to the Board of Directors, Committee members, Association members, and the public
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Conduct research, prepare statistical reports, handle information requests, and other duties as assigned
- Special projects as assigned by Executive Director.
Job Type: Part-time
Pay: $25,000.00 - $37,000.00 per year

- High school or equivalent (Preferred)
Experience:
- Customer service: 2 years (Preferred)
