SUMMARY OF RESPONSIBILITIES
This position is responsible for providing exceptional customer service to staff, faculty, adjunct, and students in support of the University’s Mission, Vision, and Values. The Human Resources Coordinator – Employee Relations & HR Operations supports the day-to-day operations of the Human Resources Department with primary responsibility for HR operations, employee relations support, compliance administration, training coordination, records management, and benefits support.
This position assists with maintaining compliant HR processes and provides operational support to ensure efficient and effective Human Resources services across the University.
ESSENTIAL FUNCTIONS
Employee Relations & HR Support
- Assist employees and supervisors with HR-related questions regarding policies, procedures, benefits, leave administration, and employment practices.
- Supports employee relations matters and assists with documentation, follow-up, and administrative coordination related to investigations and workplace concerns.
- Assists with performance evaluation processes and employee development initiatives.
- Maintains the highest level of confidentiality concerning all personnel and departmental matters.
HR Operations & Compliance
- Maintains personnel files and proper/legal archival history in accordance with records retention requirements.
- Conducts periodic audits of personnel files, I-9 documentation, training records, and HR compliance documentation.
- Maintains employee records and HR databases ensuring accuracy and confidentiality.
- Coordinates HR compliance tracking and reporting initiatives.
- Assists with development and maintenance of HR procedures, forms, and operational documentation.
- Maintains HR calendars, tracking systems, and operational workflows.
Policies Administration & HR Communications
- Assists with the administration, maintenance, and communication of University Human Resources policies and procedures.
- Coordinates policy review schedules and assists with updating HR policies, procedures, forms, and related documentation to ensure accuracy and compliance.
- Maintains current versions of HR policies on assigned webpages, shared drives, and internal communication platforms.
- Coordinates and distributes University promulgation of new or updated policies, observances, and HR informational communications campus-wide.
- Assists with tracking employee acknowledgements and policy compliance documentation.
- Supports the development of standardized HR templates, forms, and communication materials.
- Assists with maintaining departmental calendars related to compliance deadlines, policy reviews, and required employee notices.
Student Employment Support
- Facilitates onboarding processes for student employees.
- Coordinates student worker orientation and employment eligibility verification.
- Assists with student employment compliance and communication initiatives.
Training, Performance & Employee Engagement
- Oversee online training platforms by assigning required courses, monitoring completion status, generating compliance reports, and providing follow-up communication to ensure deadlines are met.
- Coordinates and tracks the annual employee performance evaluation process, ensuring timely completion, documentation accuracy, and follow-up with supervisors and employees.
- Designs, distributes, and manages annual employee engagement surveys, including tracking participation rates and compiling summary results for leadership review.
Administrative & Departmental Support
- Assists with office organization and departmental administrative operations.
- Maintains records for authorized drivers, volunteers, and external constituents.
- Assists with departmental purchasing processes and supply management.
- Participates in departmental projects, process improvement initiatives, and strategic HR efforts.
- Provides backup support for HR departmental functions as needed.
- Performs other duties as assigned.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED
- High School Diploma required; Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 2 years of experience in recruitment, onboarding, human resources, or administrative operations preferred.
- Experience in higher education human resources preferred.
- Knowledge of employment practices, onboarding procedures, and recruitment processes preferred.
- Exceptional customer service and interpersonal communication skills required.
- Strong organizational skills with attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to maintain confidentiality and exercise sound judgment.
- Intermediate to advanced proficiency in Microsoft Office Suite and HRIS systems required.
- Experience with ADP, Jenzabar, or similar systems preferred.
- Strong written communication and professional correspondence skills required.
- Ability to work collaboratively with employees at all organizational levels.
Pay: $18.00 - $20.00 per hour
