Our firm is seeking a highly organized, compassionate, and detail-oriented Legal Assistant to manage all aspects of new client intake and onboarding. Our practice focuses primarily on plaintiff’s nursing home and long-term care abuse and neglect cases, and we receive a high volume of calls and emails from potential clients and referring attorneys.
This position is critical to the firm’s success. The Legal Assistant will serve as the first point of contact for many clients and will be responsible for shepherding cases from initial inquiry through execution of the fee agreement and collection of all required intake documentation.
Key Responsibilities
Client Intake & Communication
· Serve as the primary point of contact for new prospective clients and family members
- Answer and return a high volume of incoming phone calls and emails from the public and referral attorneys
- Conduct detailed initial intake interviews with potential clients in a professional, empathetic manner
- Identify key facts, potential claims, deadlines, and issues for attorney review
- Maintain consistent follow-up with prospective clients to ensure timely completion of intake
Client Sign-Up & Onboarding
· Coordinate all aspects of new client sign-up from start to finish
- Prepare, send, and obtain executed fee agreements and required authorizations
- Ensure all necessary intake documents are accurately completed and returned
- Track outstanding documents and follow up as needed
- Confirm conflicts checks and assist with opening new matters
Administrative & Case Support
· Organize and maintain intake files (electronic and/or physical)
- Accurately enter intake information into the firm’s case management system
- Communicate effectively with attorneys regarding intake status and case viability
- Coordinate with referral attorneys regarding sign-ups and documentation
- Maintain confidentiality and compliance with ethical and legal standards
Required Qualifications
· Prior experience as a legal assistant, intake specialist, or similar role (law firm experience strongly preferred)
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to manage a high volume of calls, emails, and follow-ups efficiently
- Professional, compassionate demeanor when dealing with injured or grieving clients and families
- Proficiency with basic office software and legal case management systems (or ability to learn quickly)
Preferred Qualifications
· Experience in plaintiff’s personal injury, medical malpractice, nursing home abuse, or elder law
- Familiarity with contingency fee agreements and client authorization forms
- Experience working with referral attorneys and co-counsel
- Spanish or other second language proficiency (a plus, not required)
