South Coast Fertility Specialists is seeking an experienced, compassionate, and highly motivated IVF Coordinator to join our growing team.
We are not a corporate fertility practice. We are three female, double board-certified reproductive endocrinologists who built our practice around one simple philosophy: exceptional medicine begins with exceptional relationships.

Position Summary
The IVF Coordinator serves as the primary guide and advocate for patients throughout their fertility treatment journey. This role requires exceptional organizational skills, meticulous attention to detail, outstanding communication, and a commitment to delivering an elevated patient experience.
The ideal candidate is an experienced fertility coordinator who is proactive, detail-oriented, compassionate, and able to anticipate patient needs while collaborating seamlessly with physicians, nurses, embryologists, medical assistants, and administrative staff. This individual must be able to manage multiple treatment cycles simultaneously while ensuring that every patient receives timely, accurate, and compassionate communication.
Responsibilities
- Coordinate all aspects of IVF, frozen embryo transfer, egg freezing, donor egg, and fertility treatment cycles.
- Serve as the primary point of contact for assigned patients throughout treatment.
- Educate patients regarding treatment plans, medication instructions, appointments, laboratory testing, procedures, and expectations.
- Coordinate treatment calendars and ensure timely scheduling of ultrasounds, laboratory testing, procedures, retrievals, transfers, and follow-up visits.
- Maintain accurate, complete, and timely documentation within the electronic medical record.
- Communicate closely with physicians, nursing staff, embryology laboratory personnel, financial coordinators, and front office staff to ensure seamless patient care.
- Review laboratory results and treatment milestones with the clinical team to facilitate timely patient communication.
- Respond promptly and professionally to patient phone calls, portal messages, and emails.
- Ensure compliance with HIPAA regulations and practice policies.
- Help create an exceptional concierge-level experience for every patient.
Qualifications
- Minimum of 2-3 years of IVF Coordinator experience required (specifically experience working in a reproductive endocrinology and infertility (REI) practice)
- Exceptional organizational skills with outstanding attention to detail.
- Excellent verbal and written communication skills with the ability to educate, reassure, and support patients with empathy and professionalism.
- Ability to prioritize multiple tasks while maintaining accuracy in a fast-paced clinical environment.
- Thorough understanding of IVF treatment protocols and fertility medications.
- Experience using Artisan Fertility EMR is preferred.
- Proficiency with electronic medical records and clinical documentation.
- Professional, positive, and collaborative attitude with a strong sense of accountability.
- Ability to work both independently and as part of a highly collaborative team.

Pay: $28.00 - $40.00 per hour
