As the primary point of contact during the arrival and check-in process, you will play a vital role in delivering an exceptional customer experience and representing our brand. The ideal candidate possesses strong communication skills, basic computer proficiency, and a positive attitude to ensure accurate data entry, smooth administrative workflows, and a welcoming front-lobby environment.
Key Responsibilities
- Front Desk & System Operations: Accurately and efficiently check in guests, input visitor profiles, and process client payments or service fees via cash, credit cards, and digital payment methods.
- Account & Administrative Management: Manage scheduling calendars, log detailed customer interaction notes, handle front-desk cash flow or balancing protocols, and verify guest credentials within the company database.
- Customer Service Excellence: Greet visitors warmly upon arrival and departure, handle inbound front-desk phone inquiries, and assist in addressing general questions regarding company services or schedules.
- Issue Resolution & Inquiries: Handle customer complaints, appointment adjustments, and general inquiries efficiently, turning potential service challenges into positive branding opportunities.
- Front-End Maintenance: Maintain a clean, sanitized, and organized reception desk; assist with organizing administrative supplies, managing incoming mail, and ensuring the lobby remains professional and welcoming during downtime.
Essential Qualifications & Experience
- Education: High school diploma, GED, or equivalent professional experience.
- Technical Skills: Familiarity with standard front-desk equipment, check-in software, and customer relationship management (CRM) architectures; basic computer literacy.
- Mathematical Competency: Strong basic math skills for calculating service totals, processing transactions accurately, and issuing receipts or correct change.
- Interpersonal Attributes: Excellent verbal communication and interpersonal skills; ability to multitask, stay organized, and remain calm and professional under pressure during high-volume peak hours.
- Physical & Scheduling Requirements: Ability to remain positioned at the front desk for extended periods and manage standard office packages. Flexibility to work a shifting schedule based on operational needs.
