Payroll Specialist - ON-SITE
The Payroll Specialist is responsible for the overall coordination of activities by staff who are engaged in recording hours of work, processing time records, compiling payroll statistics, maintaining payroll control records and calculating payrolls. This position is on-site in Louisville, KY.
Essential Functions:
1. Process and reconcile bi-weekly payroll timely; ensure accuracy of overtime, bonuses, pay adjustments, retro-active corrections, and other special pay
2. Produce and distribute requested reports to the various managers/departments
3. Partner with the facilities HR Managers to ensure all exempt and non-exempt timecards are approved timely and accurately
4. Manage and reconcile special deductions and employee accruals; work closely with HR Benefits on employee benefit deductions
5. Coordinate with HR Managers on accuracy of new hire and rehire set-up in HR/Payroll system, social security number, tax set-up, direct deposit, etc.
6. Maintain accuracy of tax configuration and table for local, state, and federal payroll regulations, including reconciling and distributing W2s
7. Responsible for special quarterly and annual reporting and reconciliations; Workers Compensation, PBJ, Multi Worksite Reporting, Cost Report, and others as requested
8. Maintains the entire Garnishment process, from notifying the employee to ensuring garnishment vendors are paid and complying with the state and federal regulations
9. Parter with internal and external auditors; provide documentation as requested
10. You must be discreet in handling sensitive personal and financial information
11. Ability to work independently and be self-motivated
12. Experience with payroll software tools to extract, interpret, and prepare payroll data for finance, HR, auditors, and management
13. Proficiency in Microsoft Excel
14. Solid understanding of statutory deductions, overtime rules, minimum wage changes, and filing requirements to avoid compliance issues.
15. Familiar with debits, credits, accruals, and payroll journal entries
Required Education: Associate’s degree (A.A.) or equivalent from a 2-year college or technical school; or equivalent combination of education and experience
Required Experience: 2 years’ payroll experience
Preferred Experience: 1 year experience in a healthcare payroll setting
