RECEPTIONIST / OFFICE ADMIN
Overview:
FULL-TIME (Monday - Thursday) 7:00am to 4:30pm & (Friday) 7:00am to 11:00am
We are seeking a highly organized and detail-oriented Receptionist and Accounts Payable Assistant to be the hub and the heart of our office! This position requires excellent communication skills, strong organizational abilities, and the ability to work effectively and independently in a very fast-paced environment.
Responsibilities:
- Warmly greet and assist guests and company personnel as they enter and exit the front reception area.
- Manage and coordinate administrative tasks, including answering phone calls, responding to emails, and handling correspondence.
- Prep outgoing mail and run morning office errands to the bank, post office, etc.
- Main accounts payable contact - including three-way matching of purchase orders, receiving documents, and invoices as well as assisting vendors with inquiries and payment status updates.
- Maintain front and back-office filing systems.
- Data-entry and management of excel spreadsheets.
- High quantities of scanning and shredding office documents.
- Assist management with projects and processes.
Experience:
- Strong knowledge of administrative procedures and systems
- Experience with Quickbooks is highly preferred.
- Experience in accounts payable entry preferred.
- Excellent written and verbal communication skills
- Proficient in Excel and Microsoft Office Suite
- Ability to multitask and prioritize tasks effectively.
- Time management skills.
- High attention to detail and problem-solving skills.
