WHO WE ARE
At Breakthru, our mission is to improve access to mental health care with transformative interventional psychiatric treatments in a human-centered environment where patients are truly seen and heard. We specialize in treatment-resistant mental health conditions, delivering innovative solutions — including Ketamine infusions, TMS, PRISM and Spravato — for patients who have not responded to standard care, in an out-patient setting.
Breakthru does not offer medication management or talk therapy and collaborates with local psychiatrists and therapists.
WORK SCHEDULE
Monday to Friday; 8 hour days, 30-minute lunch, start time between 8:15 am and 9:00 am
POSITION SUMMARY
The Medical Assistant is a utility player role that works under the supervision of the CMO for clinical activities and the Office Manager for administrative functions. This position provides direct care services to patients receiving interventional psychiatric treatments while also supporting general office operations. The Medical Assistant assists with TMS (Transcranial Magnetic Stimulation) and Spravato administration while maintaining a safe environment and providing comprehensive support to patients, providers, and the practice team
KEY RESPONSIBILITIES
Interventional Treatment Support
- Operate and maintain TMS equipment and track treatment sessions in Athena and
Magventure systems
- Administer Spravato treatments following proper protocols
- Set up treatment rooms daily with IV bags, supplies, and necessary equipment
- Complete daily treatment notes and clinical journal documentation
- Monitor and document patient progress during specialized treatments
Patient Care and Safety
- Promote a physically and emotionally safe environment through regular rounds and patient monitoring
- Provide behavioral emergency assistance, including patient de-escalation and basic first aid when needed
- Recognize and report homicidal or suicidal behaviors immediately
- Monitor and document behavior of patients in treatment or on precautions
- Aid in basic patient care needs while maintaining dignity and respect
- Perform clinical duties as delegated by physicians (vital signs, etc.)
- Utilize Standard Precautions appropriately to prevent the spread of infection
Administrative and Documentation Tasks
- Complete patient intake cards daily and call new treatment patients
- Follow up with Spravato patients after treatment
- Process medication prior authorizations and medication refills
- Complete Spravato REMS and enrollment forms
- Update medication logs after each patient (dosing/usage tracking)
- Chart preparation 48 hours in advance of appointments
- Maintain accurate treatment protocols and templates
- Other process and workflow tasks as assigned by Office Manager
- Additional administrative tasks assigned by the management team
Facility Operations
- Turn on/off lights, coffee pots, and music systems daily
- Stock rooms at end of day and ensure all treatment areas are clean and ready
- Start laundry and leave laundry basket in laundry room
- Turn TMS device on/off according to schedule
- Order medical supplies and accept/log incoming medication deliveries
- Update SDS (Safety Data Sheet) book as needed
- Ensure TMS device is properly shut down each day
Patient Relations & Communication
- Implement strategies to enhance the patient experience and satisfaction
- Address patient concerns and feedback in a timely and professional manner
- Ensure clear communication with patients regarding treatment plans
- Create a welcoming and comfortable environment for patients
- Check office schedule and contact new treatment patients as needed
- Assist psychiatrist with patient communication when not busy with treatments
Technology & Compliance
- Ensure proper use of electronic health records (EHR) systems and other medical software
- Stay updated on healthcare industry trends, regulations, and best practices
- Ensure data security and privacy measures are followed (HIPAA compliance)
- Participate in regular team meetings to discuss process improvements
- Ensure compliance with healthcare regulations, OSHA, and other relevant standards
EDUCATION & EXPERIENCE REQUIREMENTS
Required Certifications
- ACLS or BLS Certifications
Preferred Experience
- 1-2 years nursing/clinical experience in a hospital or clinic setting
- EMT certification, or Paramedic certification
- Experience in a psychiatric or specialty medical practice
- Familiarity with interventional psychiatric treatments
- Previous infusion experience preferred but not required

- Assists psychiatrists with patient communication, refills, and prior authorizations
