Overview
Legacy United Methodist Church is seeking a dynamic and highly organized Office/Operations Manager to lead and streamline our daily office functions and operational processes. The Office/Operations Manager provides vital administrative and clerical support for the church’s pastoral and ministry teams. This individual is the first point of contact for visitors, congregants, and staff, ensuring a welcoming and organized office environment. The role involves managing communication, coordinating schedules, handling records, and supporting church events and activities. A strong sense of confidentiality, excellent organizational skills, and a dedication to the church’s mission are essential.
Duty/Responsibility: Office Management
Tasks Involved
● Direct telephone calls, visitors, emails to appropriate staff
● Maintain awareness of Pastor’s schedule, location, and availability
● Be aware of staff schedules
● Awareness of church schedules, events, and member information
● Prepare and distribute mailings from church, staff, and groups
● Manage office phone system and copier print system
● Maintain and restock office supply inventory
● Assist staff with office tasks, such as copying, prepping, distributing, etc. when available
● Maintain church calendars, groups, attendance, events, etc. accordingly
● Initiate background check system for employees and volunteers
● Assist Finance Manager with financial transaction processing
● Demonstrate proficiency with current office applications including Canva, Word, Spreadsheets, Outlook, Amplify (website app training will be provided)
● Other duties as needed
Duty/Responsibility: Organizational Communication
Tasks Involved
● Distribute weekly pastor email
● Prepare, print, and record Weekly Connect
● Prepare announcement sheets and slides
● Coordinate all corporate communications, including announcements, media, screens, posters, etc.
Duty/Responsibility: Business Management
Tasks involved
● Manage organization files and documents
● Manage volunteer scheduling and support, particularly for operational and facility related roles
● Ensure compliance with legal and organizational requirements, providing guidance for facility related projects and community engagement efforts
● Participate in regular meetings with staff and leadership to update on operations and upcoming projects
● Oversee relationships with vendors
Duty/Responsibility: Facility Coordination
● Coordinate facility use for events, and managing building access as needed (shared with Facilities Manager)
Requirements
- High School Diploma or Equivalent Experience
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Experience with event planning, vendor management, calendar management, and scheduling tools is a plus.
- Familiarity with human resources processes including onboarding, employee records management, and payroll administration.
- Excellent communication skills paired with professional phone etiquette and customer service orientation.
Pay: $22.00 per hour
Education:
- High school or equivalent (Preferred)
