Position Summary
The Referral Coordinator is responsible for managing all incoming patient referrals, ensuring timely authorization, accurate documentation, and effective communication between providers, patients, insurance companies, and referral sources. This position plays a critical role in coordinating patient care and maintaining a smooth referral process within the practice.
Essential Duties and Responsibilities
- Receive, review, and process incoming patient referrals from physicians, hospitals, and other healthcare providers.
- Verify patient demographics, insurance coverage, and referral requirements.
- Obtain and track prior authorizations.
- Schedule new patient appointments and coordinate referrals with providers and clinical staff.
- Maintain accurate referral records within the electronic medical record (EMR) system.
- Follow up on incomplete referrals, missing documentation, and authorization requests.
- Communicate with referring providers regarding referral status, appointment scheduling, and patient care coordination.
- Ensure all medical records, imaging reports, and supporting documentation are received prior to patient appointments.
- Monitor referral work queues to ensure timely processing and follow-up.
- Maintain compliance with HIPAA and all applicable healthcare regulations.
- Assist patients with questions regarding referrals, insurance requirements, and appointment scheduling.
- Generate referral reports and assist management with tracking referral trends and provider relationships.
- Collaborate with front office, billing, and clinical staff to improve patient access and continuity of care.
- Perform other administrative duties as assigned.
QualificationsEducation
- High school diploma or equivalent required.
Experience
- Minimum of one (1) year of experience in a medical office, referral coordination, scheduling, or healthcare administration preferred.
- Experience working with pain management, specialty practices, or physician offices is preferred.
Knowledge, Skills, and Abilities
- Knowledge of medical terminology and insurance verification processes.
- Understanding of prior authorization and referral requirements.
- Proficiency with electronic medical records (EMR) systems and Microsoft Office applications.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks in a fast-paced healthcare environment.
- Strong customer service and patient relations skills.
- Ability to maintain confidentiality and professionalism at all times.
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
