Front Desk Coordinator / Check-In & Check-Out Specialist – Full-Time
Family Practice / Internal Medicine
Boca Premier Primary Care Group is seeking a professional, friendly, and highly organized Front Desk Coordinator to join our growing Family Practice/ Internal Medicine office in Boca Raton, Florida.
The ideal candidate will serve as the first and last point of contact for our patients, ensuring an exceptional patient experience from check-in through check-out. This position combines traditional front desk responsibilities with discharge coordination and patient scheduling.
Patient Check-In Responsibilities
- Greet and welcome patients in a courteous and professional manner
- Verify demographics, insurance information, and patient forms
- Collect copays, deductibles, and outstanding balances
- Obtain and scan identification and insurance cards
- Manage incoming phone calls and patient inquiries
- Schedule and confirm appointments
- Maintain patient confidentiality in accordance with HIPAA regulations
Patient Check-Out / Discharge Coordination
- Review physician orders and follow-up instructions
- Schedule follow-up appointments, annual wellness visits, and specialist referrals
- Coordinate diagnostic testing, imaging, and laboratory appointments
- Provide patients with visit summaries and educational materials
- Process referrals and obtain authorizations when necessary
- Ensure all orders and follow-up items are completed before patient departure
Administrative Duties
- Manage appointment schedules
- Answer multi-line phone system
- Process incoming faxes and electronic communications
- Assist with patient portal enrollment and support
- Perform daily reconciliation of payments collected
- Support office workflow and patient satisfaction initiatives
Qualifications
- Minimum 1 year of medical office experience preferred
- Family Practice or Internal Medicine experience strongly preferred
- Knowledge of insurance verification, referrals, and authorizations
- Experience with Electronic Health Records (EHR) Greenway Intergy a plus
- Strong computer and telephone skills
- Excellent customer service and communication skills
- Ability to multitask in a fast-paced environment
- Professional appearance and positive attitude
Preferred Qualifications
- Experience with Medicare and commercial insurance plans
- Understanding of primary care workflows
- Prior experience with patient discharge
