Job Summary
We are seeking a detail-oriented and organized Accounting Assistant to join our trucking company. This position plays a vital role in keeping our financial records accurate and ensuring the day-to-day accounting and administrative operations run smoothly. The ideal candidate is dependable, organized, comfortable working with numbers, and able to manage multiple responsibilities in a fast-paced transportation environment.
Responsibilities
- Process customer invoices and maintain accurate billing records.
- Manage fuel transactions and reconcile fuel expenses.
- Prepare monthly reports evaluating fuel costs, repair expenses, and other operating costs.
- Maintain and update company records in QuickBooks.
- Process payroll accurately and on time.
- Pay vendor invoices and maintain accounts payable.
- Track driver compliance with DOT regulations, including maintaining records of citations, violations, inspections, and required follow-up documentation.
- Manage Fleet One accounts, including fuel cards and related reporting.
- Prepare weekly profit and gross revenue reports.
- Organize financial documents and maintain accurate filing systems.
- Assist with additional accounting and administrative duties as needed.
Qualifications
- Previous accounting, bookkeeping, or office administration experience preferred.
- Experience with QuickBooks required.
- Strong knowledge of Microsoft Excel and Microsoft Office.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidential financial information.
- Experience in the trucking or transportation industry is a plus but not required.
- Ability to work independently while meeting deadlines.
