Quality Documentation Specialist
Quality Certification | Shipping Documentation | Order Administration | Taunton, MA | Full-time, hourly, on-site
D.W. Clark casts engineered components for critical infrastructure and defense. Our mission is to advance how castings are made and the systems they make possible: the submarines that defend the nation, the infrastructure that runs everyday life, and the technologies changing how the world moves. We are building the most capable, technology-forward casting operation, as part of proving American manufacturing can lead again. We pour centrifugal and static castings with both fixed and 3D printed tooling in steels, stainless, nickel, cobalt, and specialty alloys, supported by in-house built tailored operating software.
We are seeking a Documentation Specialist to support quality, shipping, and order administration. In our business the paperwork is part of the product: a casting is not finished until its certification package proves what it is, and our defense and infrastructure customers hold the documentation to the same standard as the metal. This role owns that record from order entry through final submittal: compiling certification packages, reviewing test reports, preparing shipping documentation, managing customer submittals, and entering orders into our ERP. The right candidate is exacting, organized, and takes real satisfaction in a complete, correct package going out the door.
Key Responsibilities
Certification packages
- Compile complete certification packages for each shipment: material test reports, certificates of conformance, heat treatment records, non-destructive testing reports, dimensional and inspection records, and customer-required forms
- Verify every document against the purchase order, drawing revision, and specification flowdowns before release; resolve gaps with quality and engineering before the package ships
Test report review
- Review internal and outside-process test reports for completeness, accuracy, and conformance to specification and purchase order requirements
- Flag discrepancies to the responsible owner and track corrections through to closure
Shipping documentation
- Prepare packing lists, bills of lading, and shipment paperwork; coordinate with shipping so documentation never holds up a release
- Maintain records that allow any shipped item to be traced through its full production and inspection history
Customer submittals
- Prepare and transmit submittals through customer portals; track acceptance and respond promptly to customer documentation requests
- Keep submittal logs current so order and documentation status is always answerable
Qualifications
- Experience with quality documentation, certification packages, shipping paperwork, order administration, or similar detail work in manufacturing; castings, machining, aerospace, or defense environments a plus
- Comfortable reading purchase orders, specifications, and quality requirements
- Strong attention to detail and a habit of checking the work; highly organized under deadline pressure
- Proficient with ERP systems, spreadsheets, and document handling; fast, accurate data entry
- Clear, professional written communication; responsive with customers and internal teams
- Familiarity with material test reports, certificates of conformance, and NDT reports is a plus
- High school diploma or equivalent required; associate degree or relevant quality or documentation experience preferred
