We are seeking an experienced, polished, and hospitality-driven Luxury Medical Aesthetics Concierge & Front Desk Receptionist to become the face of our practice.
This is not a traditional front desk position.
This is an opportunity to create memorable experiences, build lasting patient relationships, and serve as the first and last impression of one of the Gulf Coast's premier medical aesthetics practices.
Our patient care team is responsible for elevating the patient experience at every touchpoint—from the first phone call through check-out and every visit thereafter. We are looking for someone who believes luxury is found in the details, anticipates needs before they arise, and genuinely enjoys making every patient feel welcomed, valued, and cared for.

What You'll Do: Create Exceptional Patient Experiences
- Deliver concierge-level service from the first interaction through check-out
- Greet every patient warmly and professionally while creating a welcoming luxury environment
- Elevate every patient interaction with thoughtful touches including warm hand towels, beverages, spa tours, robes, and spa slippers
- Ensure every patient feels known, appreciated, and genuinely cared for during every visit
- Consistently exceed patient expectations by creating personalized, memorable experiences
Be the Heart of Our Front Office
- Manage provider schedules while maximizing appointment utilization and efficiency
- Check patients in and out accurately and efficiently
- Coordinate patient flow with providers and clinical staff
- Answer phones with professionalism, warmth, and confidence
- Respond promptly to phone calls, texts, and patient inquiries
- Maintain an organized, polished, and welcoming reception area
Help Patients Get the Most From Their Membership
- Educate patients on memberships, treatment packages, promotions, financing options, and available services
- Review Alle rewards, flash offers, and wallet balances with every eligible patient
- Document available rewards on patient checkout sheets
- Promote the Alle Refer-a-Friend program
- Rebook every patient whenever appropriate
- Support retail recommendations and provider treatment plans
- Follow up with patient leads, inactive patients, cancellations, and no-shows
Deliver Operational Excellence
- Utilize Nextech, Alle, phone systems, and texting platforms with accuracy and efficiency
- Maintain accurate patient records and appointment documentation
- Support daily operational workflows while ensuring every patient interaction reflects our luxury standards
- Collaborate closely with providers, medical assistants, treatment advisors, and leadership
- Adapt quickly to new initiatives and continuously seek ways to improve the patient experience

Qualifications Required
- Minimum of 2 years of front desk, concierge, customer service, or patient care experience
- Outstanding communication and interpersonal skills
- Exceptional organizational skills and attention to detail
- Professional appearance and polished demeanor
- Strong computer skills with the ability to learn new technology quickly
- Ability to multitask while maintaining a calm, welcoming presence
- Passion for delivering exceptional patient experiences
Highly Preferred
Experience in one or more of the following:
- Luxury medical aesthetics
- Plastic surgery
- Dermatology
- Cosmetic dentistry
- Concierge medicine
- Luxury hotel or resort
- Private country club
- High-end hospitality, retail, or concierge services
Experience with Nextech, Alle, patient scheduling systems, or medical practice software is a plus.
